Job description

The Executive Assistant provides high-level administrative and strategic support to senior leadership, ensuring efficient day-to-day operations and effective coordination across the organization. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, mission-driven environment.

The Executive Assistant serves as a key partner to leadership, supporting communication, scheduling, project coordination, and organizational initiatives that drive student and staff success.

Key Responsibilities

Executive Support

  • Manage complex calendars, including scheduling meetings, prioritizing requests, and resolving conflicts.
  • Coordinate logistics for meetings, including agendas, materials, note-taking, and follow-up actions.
  • Serve as a primary point of contact between executives and internal/external stakeholders.
  • Draft, proofread, and manage professional correspondence on behalf of leadership.

Project & Operations Coordination

  • Support cross-functional projects by tracking timelines, deliverables, and key action steps.
  • Assist in the preparation of presentations, reports, and board materials.
  • Coordinate travel arrangements, events, and leadership meetings.
  • Maintain organized systems for documents, files, and records.

Communication & Stakeholder Management

  • Facilitate clear and timely communication across departments.
  • Support internal communications, including staff updates and leadership messaging.
  • Build and maintain strong relationships with staff, vendors, and community partners.

Confidentiality & Discretion

  • Handle sensitive information with a high level of professionalism and confidentiality.
  • Exercise sound judgment in decision-making and prioritization.
Qualifications

Education & Experience

  • Bachelor's degree preferred.
  • 3-5+ years of experience supporting senior leadership, preferably in education or a nonprofit environment.

Skills & Competencies

  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • High level of professionalism, discretion, and emotional intelligence.
  • Proficiency in Microsoft Office, Google Workspace, and calendar management systems.
Preferred Qualifications
  • Experience in a K-12 or charter school environment.
  • Experience supporting board-level communications or executive leadership teams.
  • Familiarity with project management tools and systems.
