Location: MATSYS HQ, Sterling, VA (Hybrid)


We are a growing government contractor focused on research, development, and production, seeking a highly organized and adaptable Executive Assistant (EA) to support our CEO and President. This role is central to the smooth operation of our leadership team and office environment, requiring discretion, initiative, and strong attention to detail.


By virtue of contract requirements, this position is only open to U.S. citizens.

Description

The EA must be flexible to periods of rapid change and short notice requirements while proactively planning and organizing during periods of pause to help improve the overall flow of executive meetings, events, correspondence, tasks and functions. The EA may often be the first person guests to the company speak to or see, therefore a professional appearance, communication skills, and ability to professionally welcome, direct, escort visitors, or otherwise pass them to intended leadership (phone transfers, office locations, etc) is required. Trust, discretion, reliability, and calm under pressure are key attributes of the EA.

Executive Support

  • Manage complex calendars for the CEO and the President, including scheduling meetings, prioritizing commitments, and resolving conflicts
  • Coordinate travel arrangements, itineraries, and logistics
  • Prepare, edit, and organize correspondence, presentations, and briefing materials
  • Serve as a trusted liaison between executives and internal/external stakeholders
  • Provide light scheduling and coordination support to other members of the executive team, as needed
  • Assist with leadership meetings, including scheduling, agenda preparation, and note-taking

Office Administration

  • Oversee day-to-day office operations to ensure a professional, efficient, and well-functioning workplace
  • Coordinate internal events, meetings, and team activities
  • Be prepared to greet, direct, escort company guests in a professional and efficient manner while making them feel welcomed

Ad Hoc & Personal Support

  • Handle occasional, time-sensitive personal tasks for executives on an emergency basis, with professionalism and discretion
  • Take on special projects and miscellaneous tasks as needed to support leadership priorities

Other duties as assigned


Required

  • 5+ years of experience as an Executive Assistant in a fast-paced environment
  • Minimum of an Associates Degree in a relevant field (may substitute applicable experience)
  • Strong organizational and time management skills with the ability to prioritize effectively and multi-task as necessary
  • Ability to adapt quickly, work independently, and change priorities
  • Ability to anticipate and provide solutions for executive needs
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism when handling confidential information
  • Proficiency in Microsoft Office Suite
  • Experience in virtual meeting environments, video teleconferencing, and other means of communication

Preferred

  • Bachelors degree in English or Communications
  • 7+ years of experience as an Executive Assistant in a fast-paced environment
  • Experience supporting multiple executives
