Executive Assistant

The Executive Assistant provides high-level administrative, organizational, and strategic support to the President and executive leadership team of a 150-employee chemical manufacturing company. This role supports the President in managing priorities and maintaining focus on key initiatives, maintains an accurate and dynamic calendar, and responds promptly and professionally to internal and external correspondence. The Executive Assistant also supports broader executive operations and contributes to company-wide organizational activities, including staff meetings, visitor agendas, and special events. This position requires exceptional organizational skills, strong communication abilities, and the capacity to operate effectively in a fast-paced, innovation-driven manufacturing environment. This is an on-site position in our Corvallis, Oregon location.

Key Qualifications:

  • Bachelor's degree required.
  • 3โ€“5+ years of experience supporting senior executives, preferably in manufacturing, scientific, or technical environments.
  • Exceptional organizational, time-management, and prioritization skills.
  • Strong written and verbal communication abilities.
  • Ability to anticipate needs, solve problems proactively, and operate with minimal supervision.
  • High proficiency with productivity tools (Microsoft Office, scheduling platforms, communication systems).

Physical Requirements:

Executive Support for the President:

  • Manage and optimize the President's calendar, ensuring alignment with strategic priorities and operational needs.
  • Track deadlines, commitments, and follow-up actions to keep the President organized and on schedule.
  • Draft, review, and manage correspondence on behalf of the President, ensuring timely and professional responses.
  • Serve as a gatekeeper by prioritizing communications, requests, and meeting invitations.
  • Prepare meeting materials, agendas, and briefing documents to support informed decision-making.
  • Coordinate travel arrangements, itineraries, and logistics as needed.

Executive Team Support:

  • Provide administrative support to the broader executive leadership team, including scheduling, document preparation, and coordination of cross-functional initiatives.
  • Assist in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology based upon participant needs and all other meeting logistics. Prepare/upload PowerPoint presentations and materials on the share drive, documents minutes.
  • Assist with preparation of presentations, reports, and internal communications.
  • Facilitate information flow between executives, departments, and external partners.
  • Coordinate travel arrangements, itineraries, and logistics as needed.
  • Manage submittal of executives' expense reports for reimbursement.

Organizational & Operational Support:

  • Plan and coordinate company-wide meetings, including all-staff meetings, leadership offsites, and team lunches.
  • Organize agendas and logistics for visitors, including customers, partners, and regulatory or technical guests.
  • Support event planning for conferences, trade shows, and internal gatherings, such as on-site training events.
  • Maintain and update company procedures, documentation, and shared resources as needed.
  • Ensure inventory of company-wide consumables, such as office supplies are inventoried and stocked appropriately.

Administrative & Project Coordination:

  • Assist with special projects that support operational efficiency, organizational development, and executive initiatives.
  • Maintain confidentiality of sensitive information and exercise sound judgment in all interactions.
  • Support process improvements that enhance communication, scheduling, and workflow across the executive office.
  • Help ensure alignment with manufacturing operations by understanding key processes, terminology, and industry context.
  • Perform other duties as assigned.
