Job description

The Release of Information Specialist is responsible for daily processing of protected health information disclosures to health care providers, insurance companies, and government agencies including social security and other entities for the purposes of continuing care, payment and health care operations. They must ensure that every release of information complies with the request, authorization, company policy and federal and multiple state regulatory requirements for a psychiatric setting, including HIPAA and accrediting agencies. The role provides exceptional customer service and operates under minimal supervision. The specialist also maintains the Enterprise Master Patient Index (EMPI) by performing regular data quality/audit checks, merging medical record numbers, and moving documents to the correct FIN when appropriate. Job Duties & Responsibilities Sort, prioritize, prepare, and respond to all incoming requests via phone, fax, mail or email for Release of Information (ROI) utilizing Health Information Management (HIM) access in Cerner within departmental, state, federal and accrediting regulated time frames. Validate whether requests require authorization from the patient and/or parent/legal guardian or other patient representative. Retrieve and prepare paper and/or electronic records for processing. Validate each record for correct patient name and dates of requested information. Data entry of request into electronic health record. Scan request into patient electronic health record. Invoice request for medical records when applicable. Send records via the method requested by the requestor. Answer phone calls and emails regarding status of requests or general questions. Research, analyze, and resolve discrepancies or issues with general and complex EMPI duplicates and patient overlay follow‐ups timely and appropriately. Troubleshoot and resolve MRN/FIN errors while demonstrating proper patient matching decisions. Monitor, validate, and optimize data integrity EMPI issues by accountable party and associate action planning necessary for resolution. Schedule Monday‐Friday 8:00 a‐4:30 p CST. May need to adjust hours to 6:00 p CST when coverage is needed for regional locations. Potential hybrid work schedule to be determined by Health Information Leadership. Training will be required onsite for the first 90 days. Work / Training Location 1860 Executive Dr., Oconomowoc, WI. Education / Training Requirements High School Diploma/GED required. Preferred associate degree in a healthcare related field, or Registered Health Information Technician (RHIT) and/or Registered Health Information Administrator (RHIA) certification. Two (2) years or more of equivalent experience working in a healthcare environment in lieu of a degree. Prior work experience in Release of Information in a physician's office or Health Information department is a plus. Experience navigating health records in a healthcare setting or related records administration, preferably in a psychiatric setting. Proficient in using various computer applications, Microsoft Office products, and the internet. Preferred past work experience using Cerner or other Electronic Medical Record software.
