Job description

DESCRIPTION: Provides administrative and data entry support for the Breast and Cervical Cancer Services (BCCS) program. This role is responsible for entering and maintaining accurate client and billing data, processing claims, posting payments, and assisting with reporting and documentation. The Data Entry Clerk ensures compliance with program procedures and agency policies, contributing to the efficient operation of the department.

SUPERVISION: Directly supervised by Director of Grants and Program Development.

TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, stooping, and bending; Occasional standing; Must be able to lift/carry up to 25 pounds. Frequent use of office equipment such as; computer, telephone, calculator, scanner and copier.

ESSENTIAL FUNCTIONS:

  • Enter client and account data using keyboard or scanner in accordance with program formats
  • Maintain data entry protocols and procedures to ensure accuracy and consistency
  • Review, sort, and prioritize incoming correspondence
  • Compile, copy, and organize data for administrative and billing reports
  • Develop and maintain an organized filing system (electronic and paper)
  • Prepare and transmit electronic claims; close daily batches and generate reports
  • Maintain logs of all submitted claims (electronic and paper)
  • Download and print Remittance & Status (R&S) Reports and Explanation of Benefits (EOBs)
  • Post payments to client accounts based on R&S/EOBs
  • Run and reconcile daily receipts report to verify posted payments
  • Review and correct rejected or denied claims; file appeals as necessary
  • Investigate outstanding claims and take appropriate follow-up action
  • View clinical data as necessary to complete billing and documentation tasks
  • Generate monthly payment and service reports for BCCS program activities
  • Maintain confidentiality in accordance with HIPAA regulations
  • Adhere to all program policies, agency procedures, and professional ethics
  • Participate in staff meetings, trainings, and team-building activities
  • Perform other duties as assigned

MINIMUM QUALIFICATIONS:

  • Graduate from an accredited high school or GED graduate.
  • Two years technical/vocational school in Business Administration or two years' experience in this field
  • Bilingual in English and Spanish preferred.
  • Possess means of transportation.
  • Valid Texas Driver's License and minimum liability insurance.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficiency in computer applications, including spreadsheets, charts, and data entry software
  • Basic knowledge of HIPAA and healthcare compliance regulations
  • Strong organizational and office management skills
  • Ability to follow verbal and written instructions accurately
  • Ability to work under supervision and within a team environment
  • Professional demeanor and ability to function effectively in a fast-paced setting
  • Experience working with underserved, uninsured, or underrepresented populations preferred
