About Lumi

Lumi Nails & MedSpa is a boutique luxury nail salon and medical spa opening in Chicago's South Loop. We offer Russian manicures, luxury pedicures, lash and brow services, HydraFacials, chemical peels, microneedling, neurotoxins, dermal fillers, biostimulators, PRF treatments, and Pico laser—all in a warm, elevated environment built on precision and artistry. We are looking for a Front Desk Concierge who is the first and last impression of Lumi—and who can help us build our brand online.

The Role

You are Lumi's face and voice. You're the first person clients see when they walk in, the voice they hear when they call, and the energy that sets the tone for their entire visit. Beyond the front desk, you'll also support Lumi's social media presence—capturing content, managing posts, engaging with followers, and helping build the brand online. This is a dual role for someone who is equal parts hospitality professional and creative content person. You'll report to the Operations Manager and work closely with the CEO on brand and social media direction.

What You'll Do — Client Experience & Front Desk

Greet every client by name with warmth, professionalism, and genuine hospitality—making them feel like a VIP from the moment they walk in. Manage the appointment book across all providers (nail artists, aesthetician, nurse injector, lash & brow artist) using Boulevard scheduling software. Handle all client communications: phone calls, emails, DMs, text confirmations, appointment reminders, and rebooking follow-ups. Check clients in and out efficiently—confirm services, process payments, and apply gift cards, memberships, and packages. Upsell and cross-sell services and retail products naturally during checkout. Handle client concerns, schedule changes, and cancellations with grace, speed, and a solutions-first approach. Manage the daily waitlist, walk-in requests, and last-minute openings to maximize provider utilization. Keep the front desk, reception area, retail displays, and refreshment station clean, organized, and aligned with Lumi's brand. Open and close the front desk each day.

What You'll Do — Social Media & Content

Create, schedule, and publish content for Lumi's Instagram—Reels, Stories, carousels, and feed posts (3–5x per week minimum). Capture in-salon content: before/after photos, treatment clips, behind-the-scenes moments, team features, and client testimonials (with consent). Edit photos and short-form video using Canva, CapCut, or similar tools while maintaining Lumi's visual brand. Write captions and copy that match Lumi's brand voice—warm, confident, elevated. Manage community engagement: respond to comments and DMs, engage with local accounts, and interact with Chicago-area beauty and wellness creators. Monitor and respond to Google and Yelp reviews. Support email marketing efforts. Track basic social metrics (follower growth, engagement, reach) and report monthly to the CEO. Coordinate educational content with providers and help plan and promote client events.

Requirements
What We're Looking For

1–3 years of experience in a front desk, reception, concierge, or client-facing role—preferably in a salon, spa, medspa, hotel, or luxury retail environment. Demonstrated social media skills: you manage or have managed an Instagram account with a strong aesthetic and consistent engagement. Strong content creation ability: comfortable shooting photos and video on an iPhone, editing in Canva or CapCut, and writing engaging captions. Excellent communication skills—warm and professional on the phone, in person, in writing, and on social media. Highly organized and detail-oriented, able to manage a busy appointment book and multiple client requests. Tech-savvy: comfortable learning booking software (Boulevard), POS systems, Google Workspace, Instagram Business, and email marketing platforms. Knowledge of or genuine interest in beauty, skincare, nails, and wellness. Positive, calm energy even on busy days. Professional appearance and demeanor aligned with a luxury beauty environment. Reliable, punctual, and accountable.

Bonus (Nice to Have)

Experience with Boulevard, Vagaro, or similar salon/spa scheduling software. Experience managing a brand's social media account. Photography or videography skills beyond a smartphone. Experience with email marketing platforms (Mailchimp, Flodesk, Klaviyo). Graphic design skills (Canva Pro, Adobe Express, Photoshop). Knowledge of medspa services. Bilingual (English/Spanish). Familiarity with the South Loop/Bronzeville neighborhood.
