Clinical Support Assistant
Location: Delaware County & Chester County, PA
Job Type: Part-Time
Reports To: Executive Director / Clinical Director
Position Summary
Autism HOPE is seeking a dedicated and detail-oriented Clinical Care Assistant to provide both direct service and administrative support within our ABA agency. This position plays a critical role in ensuring smooth clinical and office operations by supporting intake processes, assisting with clinical documentation and maintaining compliance requirements. The ideal candidate is highly organized, detailed oriented, flexible, and passionate about supporting children with autism and their families while also ensuring the agency's administrative systems run efficiently.
Key Responsibilities
Direct Service Support
• Provide assistance with ABA sessions under the direction of a BCBA or Behavior
Consultant.
• Support data collection, progress tracking, and treatment plan implementation.
• Assist with parent training sessions and family engagement activities as directed.
• Participate in community outreach initiatives to promote Autism HOPE services.
Administrative Support
• Manage intake processes, including gathering documentation and assisting families with enrollment requirements.
• Complete and maintain clinical documentation to ensure compliance with IBHS and funding source regulations.
• Maintain accurate client audit files, authorizations, and service logs.
• Support compliance audits by preparing records, reports, and file reviews.
• Perform general office duties such as filing, scanning, copying, printing, and preparing documents.
• Track scheduling, staff assignments, and client service utilization.
• Provide front-line customer service for families, staff, and community partners.
• Assist with program development, outreach efforts, and marketing materials.
Qualifications & Requirements
Education
• Bachelor's degree preferred in Psychology, Education, Social Work, or a related field; associate degree or equivalent experience considered.
Experience
• Previous experience working in an ABA, behavioral health, or healthcare setting preferred.
• Prior administrative or office support experience strongly desired. Familiarity with IBHS regulations, Medicaid, or insurance billing a plus.
Technical Skills
• Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar, Gmail) Canvas and Microsoft Office Suite.
• Experience with electronic health records (EHR) or ABA practice management systems preferred.
Soft Skills
• Strong organizational skills with the ability to prioritize and manage multiple tasks.
• Excellent written and verbal communication skills.
• Attention to detail and accuracy in documentation.
• Ability to maintain confidentiality and adhere to compliance standards.
• Team-oriented, flexible, and committed to supporting both clinical and administrative operations.
