Job description

Executive Assistant to the President and CEO

Location: Phoenix, AZ 85012 | Department: Administration | Status: Exempt | Reports to: President and CEO

Are you the kind of person who keeps leaders organized, anticipates what is needed next, and enjoys being at the center of meaningful work? Lutheran Social Services of the Southwest is looking for an Executive Assistant to support our President and CEO and help keep the CEO Office running smoothly, thoughtfully, and with strong follow-through.

This role is more than calendar management. The Executive Assistant serves as a trusted partner to the President and CEO, supports the Board of Directors, prepares executive materials, tracks priorities, and helps connect people, information, and decisions across the organization. The right person will bring sound judgment, discretion, strong communication skills, and a steady ability to manage details without losing sight of the bigger picture.

About the Role

In this position, you will manage the CEO’s calendar and priorities, coordinate Board and committee activities, prepare briefing materials and communications, and keep key follow-up items moving. You will also support executive meetings, leadership activities, community engagement, donor and partner interactions, and special projects that require organization, responsiveness, and attention to detail.

  • Have experience supporting a senior executive and understand how to manage competing priorities with professionalism and good judgment.
  • Are highly organized, proactive, and able to track details, deadlines, decisions, and follow-up without constant direction.
  • Communicate clearly and professionally in writing and in person, including with executives, Board members, staff, donors, and community partners.
  • Can handle confidential and sensitive information with discretion, integrity, and care.
  • Are comfortable preparing reports, presentations, correspondence, briefing notes, meeting materials, and other executive-level communications.
  • Enjoy working in a mission-driven environment where relationships, trust, responsiveness, and follow-through matter.
Experience and Qualifications

We are looking for someone with at least five years of progressively responsible executive support experience. Experience supporting a CEO, President, Executive Director, or Board of Directors is preferred. A bachelor’s degree is preferred, but an equivalent combination of education and experience will also be considered. Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and collaboration tools, is important for success in this role.

Work Environment

This position is based in Phoenix, Arizona and primarily operates in an office environment. Because this role supports the CEO Office, an in-office presence that aligns with the CEO’s schedule may be needed when practical. The role involves regular computer use, communication with internal and external stakeholders, and occasional lifting of up to 25 pounds.
