Executive Assistant with Administrative & HR Responsibilities

Job Summary
We are looking for an experienced Executive Assistant who will also play a pivotal role in supporting administrative functions and assisting the HR department. The ideal candidate will be a proactive multitasker with exceptional organizational skills, attention to detail, and the ability to manage various tasks with efficiency and discretion.
Core Job Responsibilities & Duties
  1. Executive Support:
    • Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and meeting coordination.
    • Handle sensitive information with confidentiality and professionalism.
    • Prepare reports, presentations, and correspondence for internal and external communications.
    • Assist in managing and prioritizing incoming requests and emails.
  2. Administrative Duties:
    • Oversee office operations, including maintaining supplies, managing vendors, and handling facilities-related tasks.
    • Streamline administrative processes and implement improvements to increase efficiency.
    • Collaborate with different departments to facilitate cross-functional communication and projects.
  3. Human Resources Support:
    • Assist in recruitment efforts by scheduling interviews, conducting initial screenings, and maintaining candidate databases.
    • Coordinate onboarding activities for new hires, including paperwork, orientations, and training schedules.
    • Support HR initiatives such as employee engagement programs, performance evaluations, and benefits administration.

Qualification Standards & Company Requirements
  • High school diploma or equivalent (required); bachelor's degree in Hospitality Management or a related field (preferred)
  • Proven experience (3 years) as an executive assistant, administrative assistant, or in a similar role.
  • Strong organizational and time-management skills with the ability to prioritize tasks.
  • Excellent communication skills, both written and verbal.
  • Proficient in MS Office Suite and other relevant software.
  • Understanding of HR functions and basic knowledge of employment laws and regulations is a plus.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Detail-oriented with strong organizational and multitasking skills
