Job description

Executive Assistant to the CEO

Full-Time · In-Office · Minneapolis, MN

About the Role

We’re seeking an exceptionally organized, proactive, and trustworthy Executive Assistant to support our CEO. This isn’t just calendar wrangling (though you'll be a pro at that too). You’ll be the CEO’s right hand — anticipating needs, keeping operations running smoothly, and handling everything from executive scheduling to HR paperwork to ensuring the office is stocked, functional, and buzzing with good energy.

This is a high-impact, high-trust role with visibility across the company — perfect for someone who thrives in a fast-paced environment and enjoys wearing multiple hats.

Key Responsibilities

Executive Support

  • Manage and prioritize the CEO’s calendar, email, travel arrangements, and internal communications.
  • Prepare briefing materials, take meeting notes, and follow up on action items.
  • Serve as gatekeeper and liaison between the CEO and internal/external stakeholders.
  • Handle confidential information with discretion and sound judgment.

Office & Operations Management

  • Oversee general office administration, ensuring everything runs efficiently — from supplies and equipment to facility management.
  • Plan team meetings, events, and celebrations (think offsites, team lunches, swag, etc).
  • Support onboarding logistics for new hires (desk setup, welcome kits, system access).

People & HR Support

  • Assist with HR documentation, compliance, and records maintenance.
  • Help coordinate recruiting processes: posting roles, scheduling interviews, and communicating with candidates.
  • Manage employee onboarding and offboarding logistics.
  • Maintain internal org charts, directories, and HR systems as needed.

What We're Looking For

  • 3+ years supporting C-level executives, ideally in a startup or fast-growth company.
  • Prior experience in HR coordination, office management, or people ops.
  • Incredibly organized with strong attention to detail.
  • Discreet, reliable, and capable of handling sensitive and confidential matters.
  • A calm and composed multitasker with excellent communication skills.
  • Proactive mindset — you don’t wait to be asked, you just get it done.

Bonus Points

  • Experience in the fintech, tech, or creator economy space.
  • Familiarity with HR tools, productivity suites (Google Workspace), and communication tools (Slack, Zoom).
  • A great sense of humor and a love for building company culture.
