Executive Assistant Supporting information

What is an executive assistant supporting?

Executive Assistants supporting typically refers to professionals who provide high-level administrative support to executives, managers, or senior leaders within an organization. Their responsibilities often include managing schedules, coordinating meetings, handling correspondence, making travel arrangements, and acting as a liaison between executives and other staff or external partners. The role requires strong organizational, communication, and problem-solving skills, as well as the ability to handle confidential information with discretion. Executive Assistants play a key role in helping executives manage their workload and operate efficiently.

What are the key skills and qualifications needed to thrive as an executive assistant supporting?

To thrive as an Executive Assistant Supporting, you need exceptional organizational skills, attention to detail, and proficiency in office administration, typically supported by relevant experience or certifications in business administration. Mastery of office software like Microsoft Office Suite, calendar management systems, and communication platforms is essential. Strong interpersonal skills, discretion, and proactive problem-solving set standout Executive Assistants apart. These capabilities are crucial for efficiently managing executive schedules, communications, and priorities, ensuring smooth business operations.

What are some common challenges executive assistants face when supporting multiple executives, and how can they effectively manage competing priorities?

Executive Assistants supporting multiple executives often encounter the challenge of balancing conflicting schedules, priorities, and communication styles. To manage these demands effectively, it's essential to develop strong organizational systems, maintain proactive and transparent communication with each executive, and set clear boundaries for urgent versus non-urgent tasks. Utilizing digital tools for calendar management, task tracking, and regular check-ins can help streamline workflows and ensure that all executives feel supported. Flexibility, discretion, and the ability to anticipate needs are key traits that help Executive Assistants thrive in this dynamic role.

Executive Assistant

Full Time Clerical Bentonville, AR, US

Salary Range: $50,000.00 To $70,000.00 Annually

Remote in Northwest Arkansas

TRS Healthcare is seeking an experienced Executive Assistant to provide high-level support to our CEO, CFO, CRO and CGO.

This is a remote position; however, the individual must reside in Northwest Arkansas and be available to attend and support in-person meetings, events and other Executive Team activities as needed.

We're looking for someone who thrives in a fast-paced environment, anticipates needs before they arise and can bring organization to a lot of moving pieces. Our Executive Team travels and meets in person frequently, so this role will be instrumental in coordinating travel, calendars, meetings, events and the details that keep our leaders organized and prepared.

This is more than calendar management. The Executive Assistant will serve as a trusted partner to our Executive Team and must be proactive, resourceful, highly organized and comfortable handling confidential and sensitive information.

What Youโ€™ll Do
  • Provide high-level administrative support to the CEO, CFO, CRO and CGO
  • Manage complex calendars, scheduling priorities and meeting coordination across multiple executives
  • Coordinate frequent executive travel, including flights, hotels, transportation and detailed itineraries
  • Plan and coordinate Executive Team meetings, leadership offsites, company events and other in-person gatherings
  • Coordinate venues, catering, accommodations and other event logistics
  • Prepare agendas, meeting materials, presentations and other supporting documents
  • Attend key meetings, take detailed notes, document decisions and action items, and coordinate follow-up
  • Manage last-minute travel and scheduling changes and proactively troubleshoot issues
  • Organize and maintain Executive Team documents, meeting materials and other important information
  • Coordinate expense reports and other executive administrative needs
  • Communicate professionally with internal leaders, employees, vendors and external partners on behalf of executives
  • Anticipate the needs of the Executive Team and proactively identify solutions
  • Support special projects and other Executive Team priorities as needed
What Weโ€™re Looking For
  • 5+ years of Executive Assistant or senior-level administrative experience
  • Experience supporting C-suite or senior executive leaders; experience supporting multiple executives strongly preferred
  • Significant experience coordinating executive travel and complex itineraries
  • Handsโ€‘on experience planning corporate events, leadership meetings, offsites or conferences
  • Exceptional organizational skills, attention to detail and followโ€‘through
  • Strong calendar and meetingโ€‘management skills
  • Excellent written and verbal communication skills
  • Ability to capture meaningful meeting notes, decisions and action items
  • Strong judgment, discretion and ability to maintain confidentiality
  • Ability to anticipate needs, solve problems independently and take ownership
  • Ability to successfully manage competing priorities and pivot quickly when plans change
  • Proficiency with Microsoft Outlook, Teams, Word, Excel and PowerPoint
  • Ability to travel as needed
  • Must reside in Northwest Arkansas and be available for inโ€‘person meetings, events and Executive Team activities as needed

TRS Healthcare offers a comprehensive benefits package designed to support our team members both personally and professionally, including:

  • Medical, dental and vision insurance
  • Unlimited paid time off after 90 Days of Employment
  • Paid holidays
  • Voluntary benefits- Life, Critical Illness, Hospital Indemnity, Short- and Longโ€‘term disability
  • Remote work environment
  • Company and team events

This is a remote position; however, candidates must reside in Northwest Arkansas. Because this role directly supports our Executive Team, regular in-person availability is an important part of the position. The Executive Assistant will support local meetings, leadership events, offsites and other Executive Team activities as needed.

The position will also require travel based on Executive Team and company needs.

Who Will Thrive in This Role

You're someone who doesn't need to be told every next step. You notice what needs to happen, ask the right questions and take ownership of getting it done.

You can coordinate travel for multiple executives, organize an in-person leadership event, sit in a confidential meeting and capture the important takeaways, and then immediately pivot when plans change.

You're polished and professional, but also approachable. You know how to prioritize when several leaders need something at once, communicate clearly and keep track of the details without losing sight of the bigger picture.

Most importantly, you enjoy being the person behind the scenes who makes things happen.
