Job description

SUMMARY: The Research Assistant supports multiple grant-funded programs across Tennessee and will be responsible for coordinating data collection, participant follow-up, database management, program evaluation activities, and grant reporting requirements. Working closely with program staff, Program Directors, Program Coordinators, and the Research and Evaluation Team, the Research Assistant ensures timely, accurate, and compliant data collection, entry, tracking, and reporting across multiple projects.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Serve as a liaison between program staff and the Research and Evaluation Team regarding data collection, reporting requirements, and evaluation activities.
  • Coordinate data collection, participant tracking, follow-up, and reporting activities across multiple grant-funded programs.
  • Collect, administer, score, enter, and track baseline, discharge, follow-up, and other grant-required assessments in accordance with program and funding requirements.
  • Maintain participant tracking systems and follow-up logs to support timely completion of assessments and maximize follow-up rates.
  • Monitor data quality and conduct routine reviews to identify missing or inconsistent data.
  • Build rapport with participants and utilize engagement strategies to support participant retention and follow-up activities.
  • Administer client satisfaction surveys and assist with client and staff focus groups as needed.
  • Maintain project-specific tracking systems, evaluation files, and documentation in accordance with grant and organizational requirements.
  • Assist with monthly, quarterly, annual, and closeout reports by compiling project data.
  • Prepare data summaries, tables, charts, and other materials for internal and external reporting purposes, as needed.
  • Collaborate with program staff to improve data collection and ensure compliance with the reporting requirements.
  • Attend required meetings, trainings, and evaluation-related activities.
  • Conduct site visits and travel regularly throughout Tennessee to support data collection, monitoring, training, and evaluation activities.
  • Perform other duties as assigned.

Certifications/Licensures:
  • Valid drivers license and the ability to obtain and maintain WestCares vehicle insurance is required.

EDUCATION:
  • High School Diploma or equivalent is required.
  • Graduation from an accredited four-year college with a degree in psychology, sociology, social work, or related human services or behavior health field is preferred.

EXPERIENCE AND COMPETENCIES:
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Must reside in Tennessee or be willing to relocate. Preference will be given to candidates residing near program service areas.
  • Experience working with federally funded behavioral health, prevention, treatment, public health, or community-based programs preferred.
  • Experience with data collection, participant tracking, follow-up procedures, and database management preferred.
  • Demonstrated ability to manage multiple projects, competing priorities, and reporting deadlines while maintaining accuracy and attention to detail.
  • Strong organizational, communication, problem-solving, and time-management skills.
  • Ability to work independently and collaboratively with multidisciplinary teams while maintaining professionalism.

WORKING CONDITIONS:
  • Work is primarily performed in an office, indoor, or shelter setting.
  • Some outdoor activities and travel between multiple locations will be required.
  • Regular and prompt attendance is required throughout employment.
