Job description

About You

You are a detail-oriented professional who takes ownership and thrives in a fast-paced environment. In this role, you will manage core transactional accounting processes, including invoicing, payment tracking, and maintaining accurate financial records.

You are highly organized, reliable, and comfortable working independently while partnering closely with a Finance Lead and cross-functional teams. You communicate clearly, follow up proactively, and are quick to identify and resolve discrepancies. Above all, you bring a strong sense of accountability and take pride in keeping financial operations running smoothly and accurately.

Responsibilities

  • Own invoicing and payment workflows for assigned transactions, including commission-based brokerage business.
  • Enter and maintain contract records for applicable accounts.
  • Review, enter, and send seller invoices for domestic shipments, ensuring accuracy and completeness.
  • Follow up with customers on overdue payments for domestic shipments.
  • Generate, send and monitor payment status for commission invoices.
  • Support allocation and reconciliation of commission in partnership with the Finance Lead.
  • Maintain accurate, organized financial records within internal systems.
  • Identify and resolve discrepancies across contracts, invoices, and payments.
  • Support the Finance Lead with additional accounting tasks as needed.

Minimum Qualifications

  • 2+ years of in-office administrative professional experience.
  • Strong attention to detail and accuracy in financial data and documentation.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Clear written and verbal communication skills; comfortable following up on outstanding items.
  • Self-starter with a strong sense of ownership and accountability.
  • Comfortable working in internal or non-standard systems; adaptable and resourceful.
  • Bookkeeping, accounts receivable, accounts payable, or a similar experience is a plus but not required.
  • Proficient with Microsoft Outlook and Excel; accounting system experience is a plus.
  • High school diploma or GED required; additional accounting coursework is a plus.
