Position Summary
This position is dedicated to driving revenue growth and maximizing customer engagement for the Hydrovac Division. Acting as the pivotal link between customers, sales representatives, service teams, the factory, and MacAllister, the Coordinator proactively identifies and pursues new business opportunities, nurtures client relationships, and facilitates seamless sales transactions. By ensuring efficient scheduling, precise documentation, and rapid issue resolution, this role directly contributes to increased service sales, higher rental utilization, and enhanced customer loyalty. This position's targeted outreach and consultative approach position the Hydrovac Division as the preferred partner for hydro excavation and jetting solutions, consistently exceeding customer expectations and delivering measurable business results.
Position Duties/Responsibilities
  • Lead Generation: Proactively generate new opportunities through outbound calls, mailings, and promotional campaigns.
  • Proposal/Sales Quote Development: Create clear, detailed sales, service and parts proposals outlining scope of work, pricing, and timelines.
  • Sales Process Facilitation: Streamline transactions between customers, sales reps, factory, and MacAllister with accuracy, sensitivity, and speed.
  • Rental Process Management: Prepare rental agreements/quotes and documentation efficiently and accurately.
  • Service Scheduling & Coordination: Collaborate with Service and Field Service Departments to schedule repairs and maintenance; provide detailed work scopes and maintain ongoing communication to ensure timely, high-quality completion.
  • Monitor Work-in-Progress: Track active jobs to uphold exceptional customer service standards and consistently exceed expectations.
  • Customer Issue Resolution: Promptly address complaints, service delays, invoicing discrepancies, and satisfaction concerns with professionalism and urgency.
  • CRM & Data Accuracy: Maintain up-to-date customer profiles, machine population records, and qualified accounts in CRM/software to enable targeted promotions and campaigns.
  • Reporting: Prepare and update monthly Service reports and KPI dashboards.
  • Additional Duties: Perform other tasks as assigned to support division goals.

Supervisory Responsibilities:
  • No formal responsibility for supervising others.

Position Requirements
Required:
  • High School diploma or GED
  • 2+ years of sales, customer service, or administrative coordination experience in heavy equipment, industrial services, or dealership environment.
  • Proven understanding of pricing, quality, and turnaround time principles.
  • Basic mechanical aptitude and familiarity with hydro excavation/jetting equipment preferred.
  • Proficiency in Microsoft Office Suite and CRM/ERP systems.
  • Flexibility to travel occasionally and work extended hours as needed.

Preferred:
  • Associate's degree in business, sales, or related field preferred.
  • Knowledge of hydro excavation and jetting product lines.
