Job description

Position Summary:
The Event Manager is a key member of the Development team and works on the implementation of all YWCA development strategies and events.  Under the supervision of the Senior Director of Giving, this person will manage key aspects of events, and coordinates with YWCA Departmental Leadership to provide information for reporting and tracking of donor activity as it relates to development events.  This role records, maintains and reports on all data related to departmental event activities, including donor and event records, files, and databases.

Relationships and Contacts:
  • Within the organization: Initiates and maintains professional working relationships with staff throughout the organization including peers, team members, immediate supervisor, leadership, and executive leadership teams.

Essential Responsibilities:
  •  Oversees planning and logistical execution of YWCA’s signature fundraising events:
    • Provides day-to-day supervision and leadership for the Development team’s fundraising events.
    • Recruits and manages event chairs, committees and in-kind partners.
    • Manages event budget, sponsorship revenue, ticket sales, and other revenue streams to ensure events meet revenue goals.
    • Tracks all revenue and expenses, generate reports after each event to include attendance, sponsorship, etc.
    • Assist with online event registration, seating charts, food and beverage, set-up/tear-down, A/V, technology, rentals, florists, licenses, in-kind donations, etc.        
  • Manages key elements of event donor and attendance data entry, donor acknowledgements, and donor contact reports ensuring a high level of accuracy and donor satisfaction and maintains constituent records in Raiser’s Edge under the supervision of the Sr. Manager of Donor Services.
  • Collaborates with the Senior Director Giving and Chief Development Officer to ensure events are integrated into overall donor development strategies and offer engagement opportunities for donors at all stages of relationship to YWCA
  • In collaboration with the Senior Director of Giving and Senior Director of Community Engagement, assists with special projects and recruits, coordinates, manages, and recognizes volunteer needs related to events. Leads elements of Wine Women & Shoes such as Key to the Closet, Wall of Wine, and Marketplace.
  • Oversees event promotion including managing relationships with PR firms as well as print and digital media partners
  • Assists in working with production firms for AWA and WWS managing key elements for each event.
  • Collaborates with the VP of Strategic Communications & Advocacy to ensure distribution of social media, websites, and email promotions for all development activities.
  • Maintains database and current documentation of volunteer records, ensuring compliance with funder requirements.
  • Provides event data for sponsor stewardship reports to ensure a high level of donor satisfaction. 

Additional Responsibilities:
  • Assists fundraising efforts including direct mail campaigns, digital media campaigns and individual giving opportunities.
  • Prepares presentations, materials, and reports to support development efforts.
  • Attends Development Committee meetings periodically and YWCA internal and community meetings/events as requested.
  • Represents YWCA with a high level of integrity and professionalism, and supports management decisions in a positive, professional manner.
  • Participates in overall department planning.
  • Solicits and manages in-kind donations.
  • Performs other duties as assigned by the Senior Director of Giving, Chief Development Officer, and President & CEO.

Education and Experience:
  • Position requires a bachelor’s degree and at least three years of related experience. 
  • Experience working with a database software program is required.
  • Raiser’s Edge is preferred.

Physical Requirements:
  • Must be fit for travel by automobile and willing to travel independently to reach engagements.
  • While performing the duties of this job, the employee will be required to communicate with peers, public and volunteers.
  • Job performance will require the ability to remain stationary for extended periods of time; move between areas by walking; standing; stretching; reaching; move significantly during events; move materials, boxes, etc. for event needs and transport materials for events.
  • Tolerant to various noise levels: noise level in the work environment varies – may be very quiet to moderate.
  • Ability to work a flexible schedule, including nights and weekends.
  • Ability to speak concisely and effectively communicate needs.
  • Requires visual acuity to determine accuracy, neatness and thoroughness.

Other Requirements:
  • Position requires incumbent to have a valid driver’s license, vehicle insurance and a clear driving record for the last three years.
