Job description

Job Overview
We are seeking a Project Coordinator to provide comprehensive support to our project managers and field teams for industrial construction projects. This full-time, in-office role in St. Louis, MO, requires a proactive individual with excellent communication and problem-solving skills, capable of managing multiple tasks in a fast-paced environment. You'll ensure smooth project execution through resource coordination and documentation management focusing on job setup, financial tracking, compliance, and client relationships.

Work Location: In person, at our Earth City, MO office

Job Responsibilities

Set up new jobs in our systems and software.

Develop, submit, and track regulatory compliance forms.

Track regulatory certification and state licenses.
Participate in project manager review meetings.
Assist with accounts receivable collection.
Coordinate service call paperwork and address client-specific documentation/reporting needs.
Review change orders and subcontractor compliance.
Manage pre-qualifications and customer portal setup.
Request new business partners and required Certificates of Insurance (COIs)/bonds.
Request and manage W-9 paperwork
Provide support for bid documents, travel arrangements, and company events.
Perform administrative and project support as assigned.

Experience:

Proven experience in project coordination or administration.
4+ years in a supportive role for a construction company preferred.

Skills:
Strong organizational, communication, and interpersonal skills.
Detail-oriented and a proactive problem-solver.
Ability to manage multiple tasks simultaneously and prioritize effectively.

Technical Proficiency:
Highly proficient in MS Excel, MS Office.
Familiarity with Procore and DocuSign highly preferred
