Job Description:
As we continue to grow in Chicago, we are looking for a passionate and knowledgeable leader to step into this role. If you are a highly organized, hardworking, and creative individual, this could be a great opportunity for you. In this role, you will play an integral part in orchestrating our captivating puppy-centric events across the city while supporting, motivating, and leading the local team.
This is a part-time, onsite role located in Chicago.
Compensation:
The hourly rate for this role is $20.00 USD per hour.
Job Requirements:
Event Operations:
  • Oversee on-site and off-site execution of Puppy Sphere events to ensure a seamless, high-quality, and positive team and guest experience.
  • Monitor event flow and environment to proactively identify and resolve issues related to the event, animals, staff, and guest experience.
  • Act as the floor supervisor and work alongside the event team.
  • Be a resource and provide support during the entire event flow including event set up, class check-in, event speeches, yoga session, social period, post event reset, and event break down.
  • Ensure the completion of daily, weekly, and monthly tasks, following opening and closing checklists to help maintain high standards of cleanliness and organization.
  • Conduct short on-shift meetings with the event team to review updates from the Operations Manager, discussing company updates, roll outs, launches, and ensure alignment with event objectives.
  • Oversee and support guest check-in procedures including ticket scanning, ID verification, class age limit verification, and ensuring completion of signed waivers.
  • Facilitate and assist with the safety of puppies, team, and guests during the entirety of events.
  • Ensure all team members on-shift follow safe handling practices and guidelines, upholding Puppy Sphere's animal welfare standards.
  • Manage add-ons, beverage and food inventory, assisting staff with operational tasks during sessions as needed.
  • Monitor inventory levels for studios, including merchandise, supplies, food and beverages, water access, and facility readiness. Communicate and coordinate with management for urgent inventory needs.
  • Act as a point of contact for all support situations with guests, liaising with management or customer service as necessary.
  • Assist as the on-site lead for emergency procedures and maintain familiarity with emergency plans and safety protocols.
  • Ensures all required puppy wellness checks are completed and proactively monitors puppy health, communicating any concerns through the appropriate channels.
  • Handle all aspects of animal welfare, team, and guest injury reporting, including documentation and communication with operations managers.
  • Ensure completion of Animal Welfare, Studio Inventory, and End-of-Day report forms to communicate any needs, issues, feedback, or remarks from the day's events.
  • Coordinate and communicate necessary breaks to event staff during events to ensure all team members receive required meal and rest breaks in compliance with local labor laws.
  • Uphold and ensure all events comply with applicable company, local, city, provincial/state policies.
  • Responsibility for protecting studio assets by following procedures and policies for safety, security, maintenance, and cleanliness.
  • Maintain open communication and proper escalation channels with the Operations Manager and other relevant stakeholders throughout events to promptly address any interruptions or issues.
  • Communicate and escalate essential information in a timely manner to Operations Manager, maintaining confidentiality where appropriate.
  • Attend bi-weekly meetings with other city supervisors and Operations Managers to receive updates, share insights, and collaborate on solutions to enhance event operations.
  • Serve as event supervisor for pop-up and private events (on-site and off-site) when scheduled. Including preparation of supplies before the event, ensuring all event inventory items are returned and stored afterward, and serving as the main point of contact for the client. Ensure run-of-show is executed accurately and on time. Manage any situations that arise during the event to ensure a smooth and successful experience for all attendees.
  • Maintain a high level of professionalism when interacting with guests, clients, vendors, and animal welfare partners, acting as a representative of Puppy Sphere to exemplifying our values and standards.
  • Exercise sound judgment in determining when to resolve issues independently versus when escalation is required, ensuring timely communication with the Operations Manager for decisions outside the Supervisor's authority.
Leadership and Team Development:
  • Consistently exemplify and role model Puppy Sphere's core values and mission, creating a positive, collaborative, and supportive team culture and environment.
  • Lead by example, demonstrating professionalism, calm decision making, and serve as the primary point of contact on-site for the event team.

  • Provide ongoing and in-the-moment coaching to the team during events to uphold best practices.
  • Supports the management team in rolling out new initiatives in a positive and professional manner, acting as a key communication link between leadership and event staff by clearly communicating changes, gathering feedback, and escalating concerns constructively and through the appropriate channels.
  • Conduct and assist in-person training sessions for new event facilitators or supervisors during their onboarding process.
  • Support the development of future leads or supervisors by modeling leadership behaviors and sharing knowledge.
  • Provide comprehensive guidance on event procedures and company standards to ensure all team members are well-prepared to deliver exceptional experience.
The Requirements Are:
  • Demonstrated leadership capability and interest in team development.
  • Proven ability and excitement to develop and lead teams to foster a positive, high-performance culture.
  • A genuine interest in animal welfare and the ability to take ownership of puppy care responsibilities while on shift.
  • Must be available to work at least 4 shifts per month and have availability of a minimum of three weekends per month.
  • Must be available to go to the studio Monday - Friday where business needs require and employee is available.
  • Comfortable working in a fast-growing, evolving startup environment where processes, priorities, and initiatives continue to develop and change.
  • Effective time management skills, organised, detail-oriented, with a proactive and solution-oriented approach to resolving challenges.
  • Ability to lift, carry, push, and pull items weighing up to 30 lbs.
  • Ability to stand and walk for extended periods, including throughout the duration of events.
  • Ability to bend, kneel, crouch, reach, and perform repetitive motions as required during event setup, execution, and breakdown.
  • Comfortable working with standard cleaning supplies and solutions, following proper safety and handling guidelines.
  • Ability to work in environments with moderate noise levels, animals present, and high guest interaction.
