Position Summary:

The Event & Marketing Services Specialist plays a key role in bringing our brand to life through exceptional event execution and marketing support. This role owns the planning and execution of select channelspecific events while supporting the Senior Manager on major industry programs. The Specialist manages event logistics and promotional inventory, and coordinates essential workflows to ensure our teams are prepared and our events are executed flawlessly. The ideal candidate is detailoriented, organized, and thrives in a role centered on structured execution.

Major Duties and Responsibilities:
  • Event Logistics & Industry Event Support
    Coordinate logistics and execution of select channelspecific events (e.g., NACS, IDDBA, Pizza Expo) and support the planning of major industry events (MenuMasters, IFMA COEX, IFDA). Responsibilities include supporting event planning timelines, coordinating registration and materials, assisting with vendor communication, preparing and shipping event assets, and supporting onsite event readiness. Partner with internal teams to ensure events are organized, wellprepared, and consistently represent the brand. Support tradeshow lead generation program by assisting with monthly reporting related to event participation, lead capture results, and overall program performance.
  • Promotional Inventory & Fulfillment Management
    Support fulfillment and promotional inventory operations by partnering closely with an external agency that monitors stock levels and provides reorder recommendations. This role is responsible for reviewing and securing internal approvals for reorders, coordinating reorder requests, managing vendor communication, and tracking associated budgets and expenses. Ensuring all promotional materials (oil kits, racks, pumps, and food show collateral) are accurate, approved, and aligned with brand standards before being produced or restocked. Maintains organized internal documentation and ensures timely distribution to field teams.
  • Digital Asset & Content Maintenance
    Help maintain, update, and coordinate the production of digital marketing assets and promotional materials, including ads, sell sheets, signage, and branded materials. Partner with internal teams, external vendors, and the agency managing our Marketing Dashboard platform to ensure all materials are accurate, approved, on brand, and delivered on time. Maintain organized asset libraries so internal and external teams have access to current, easytouse resources that support event readiness, field execution, and customer engagement.
  • Administrative & Budget Support 
    Processes invoices, submits purchase orders, tracks expenses, and updates budget tracking spreadsheets for marketing materials, promotional inventory, and eventrelated expenses. Assist with internal communications and daytoday coordination across teams.
  • Travel up to 25% 
  • Additional responsibilities as assigned.
Education and Experience:
  • Bachelor's or Associate's degree in Marketing, Business, Hospitality Management, or a related field. Equivalent combinations of education and experience will be considered, including 3 to 4 years of relevant professional experience in lieu of a degree.
  • 2-4 years of experience in event planning, hospitality, project management, or a related field.
  • Prior experience leading coordinating events, vendors, or logistics strongly preferred.
  • Experience providing deliverables on time against deadlines.
  • Proven ability to collaborate successfully with internal and external partners.
  • Excellent grasp of digital and social media usage for event marketing and other marketing tactics.
Knowledge and Skills:
  • Strong project coordination skills with proven ability to manage timelines and deliver against deadlines.
  • Strong organizational, communication, and coordination skills, with the ability to manage multiple projects and priorities in a fast-paced environment.
  • Highly organized, detailoriented, and capable of managing multiple tasks simultaneously.
  • Strong communication skills; comfortable working crossfunctionally.
  • Working knowledge of marketing materials, POS, promotions, or event execution.
  • Ability to manage vendors, interpret budgets, and track accurate spend.
  • Proficient in Microsoft Office (PowerPoint, Excel, Outlook).
  • Experience with CRM systems (Salesforce), marketing automation, or inventory management tools beneficial but not required.
  • Selfstarter who thrives in a fastpaced, executionfocused environment.
