What is an event staff?

Event staff are individuals who assist with the planning, organization, and execution of events such as concerts, conferences, sports games, and festivals. Their responsibilities can include ticketing, crowd management, setup and teardown, ushering, and providing information or assistance to attendees. Event staff play a crucial role in ensuring that events run smoothly, safely, and efficiently. They often work on a temporary or part-time basis and may be required to work evenings, weekends, or holidays depending on the event schedule.

What does an event staff do?

The responsibilities of an Event Staff team member vary depending on the kind of event they’re working. Event Staff work at concerts, sports games, conferences, parties, and other large occasions; as such, they’ll likely be busy greeting guests, providing directions, ensuring basic security, taking tickets, facilitating parking, keeping the event space clean, and generally assisting in the logistics of a successful event. In some cases, Event Staff help with food and beverage service which may include decorating tables and handing out refreshments. Events are often held during evening and weekend hours, so staff members won’t necessarily have a traditional, consistent schedule. They show up before the event begins to help with preparations and after it concludes to clean up.

What are the key skills and qualifications needed to thrive as an event staff member, and why are they important?

To thrive as Event Staff, you typically need strong organizational abilities, attention to detail, and customer service skills, often supported by previous experience in hospitality or event settings. Familiarity with event management software, ticketing systems, and basic audiovisual equipment is often required. Exceptional communication, adaptability, and teamwork are crucial soft skills for interacting with guests and supporting event logistics. These skills and qualities ensure smooth event operations, positive attendee experiences, and the ability to handle unexpected challenges effectively.

What are some common challenges faced by event staff during large-scale events, and how can they be addressed?

Event Staff often face challenges such as managing large crowds, adapting to last-minute changes, and maintaining effective communication with team members. Handling these situations requires strong problem-solving skills, the ability to stay calm under pressure, and clear coordination with supervisors and colleagues. Proactively familiarizing yourself with the event layout, emergency procedures, and communication tools can help you respond quickly and ensure a smooth experience for attendees and staff alike.

Customer Service

  • Deliver friendly, professional assistance at every interaction.

  • Answer questions, provide clear instructions, and help guests understand the rules and layout of the haunt.

  • Approach every concern with empathy and resolve issues promptly, turning challenges into positive experiences.

Event Operations

  • Play a hands-on role in event setup and teardown, keeping every area clean, organized, and ready for action.

  • Work closely with fellow staff to maintain the immersive environment, ensuring props, décor, and effects are in place and functioning.

  • Support special event needs as they arise to create a seamless experience behind the scenes.

Safety and Security

  • Stay alert for safety hazards and report them immediately to management.

  • Assist security personnel in maintaining a secure environment for guests and staff, ensuring everyone enjoys the event safely.

  • Respond calmly and efficiently in emergency situations.

Communication

  • Share important updates, coordinate crowd movements, and contribute ideas to improve operations and efficiency.

Position Requirements

  • Must be 18 years of age or older at the time of hire.

  • Must be legally authorized to work in the United States; employment eligibility will be verified through E-Verify.

  • Must be available to work evenings, weekends, and holidays as required by event schedules.

  • Comfortable working in dark, loud, and themed environments with strobe effects, fog, and close guest interaction.

This is a seasonal position tied to select events produced by Thirteenth Floor Entertainment Group. Employment is at-will, and there is no guarantee of continued or repeat employment in future seasons or events.
