Position Summary 

We are seeking a dynamic, organized, and results-driven Event & Group Booking Coordinator to oversee group bookings and events across our portfolio of restaurants. This role will be responsible for coordinating all aspects of group dining and private events—from initial inquiry to execution—while working closely with restaurant managers to ensure exceptional service, drive sales, and elevate guest satisfaction. The ideal candidate will also proactively engage with local businesses and organizations to generate new reservations and group bookings. This position reports to our of Restaurant Operations, with directions and instructions from Senior Management and the Owners at times.


Position Responsibilities 


Group Sales & Booking Coordination

  • Serve as the primary point of contact for all group dining and private event inquiries across multiple restaurant locations
  • Qualify leads, prepare proposals, and manage the booking process from start to finish
  • Draft and distribute Banquet Event Orders (BEOs) to ensure clear communication between guests and internal teams
  • Maintain and update group booking calendars and CRM systems (e.g., OpenTable, Tripleseat, TOCK)
  • Participate in guest site walk arounds, tastings and meetings
  • Ensure a high level of guest experience throughout the booking process


Operational Collaboration & Execution

  • Work closely with restaurant managers and staff to ensure smooth event execution and high service standards
  • Attend events (as needed) to oversee execution and address any real-time needs or issues
  • Collect post-event feedback to identify areas of improvement
  • Develop and implement procedures around BEO standards, communication, set up and service standards


Sales & Relationship Building

  • Build and maintain relationships with corporate clients, event planners, and local businesses to encourage repeat business and referrals
  • Conduct outbound outreach (calls, emails, site visits) to target potential group clients and increase overall group revenue
  • Represent the restaurants at industry and community networking events to boost visibility


Guest Experience & Service Improvement

  • Collaborate with managers to continually improve the guest experience for group and event bookings
  • Provide feedback and insights to management teams regarding guest expectations, service trends, and areas of opportunity
  • Monitor guest satisfaction scores and reviews related to events and group dining
  • Sends monthly reports that detail sales breakdown, gratuity, guest feedback, restaurant execution and forecasting of next month. Forecasting should include conventions, events/concerts, cruise ship traffic and current trends
  • Meet regularly with Ops, CDC’s and GM’s to discuss evolution of events, best practice and revenue targets


Experience & Qualifications 

  • Experience: 2+ years of experience in hospitality, event coordination, or group sales (restaurant or hotel experience preferred)
  • Strong knowledge of BEOs, event timelines, and service standards
  • Exceptional communication and interpersonal skills
  • Proficient in Google Workspace, Microsoft Office, and reservation/event software (e.g., OpenTable, Tripleseat, TOCK)
  • Self-motivated, organized, and able to manage multiple priorities across locations
  • Willingness to work flexible hours including evenings and weekends when necessary


Physical Requirements 

The Wentworth Event & Group Booking Coordinator role involves extended periods of seated work and frequent visits to multiple restaurants. Team members must be comfortable working in a dynamic, fast-paced environment that may include exposure to varying temperatures and crowded spaces. Physical capabilities should include the ability to lift and carry up to 40 lbs. independently, bend, reach, and perform tasks requiring fine motor skills.


Work Schedule 

This full-time salaried typically working Monday through Friday, 9:00 am – 5:30 pm. The specific work hours during the workday may be determined through mutual agreement, allowing for flexibility as needed. This position requires employees to work overtime and weekends on occasion and may be required to respond to emergency situations.
