Job Description
Reporting to the Director of Event Sales & Services and Associate Director of Event Sales & Services, the Event Services Coordinator is responsible for managing the daily operations of the Event Services Team and providing comprehensive administrative support to Event Directors and Service Managers.
Key responsibilities include:
  • Answer and manage incoming telephone communications in accordance with Fairmont Standards, ensuring professional and timely responses.
  • Prepare and maintain accurate written correspondence, including contracts, proposals, reports, Banquet Event Orders (BEO), event schedules, printed menus, and formal communications.
  • Administer information systems, including menu input, average check updates, BEO documentation, document template management, and inquiry assignment across multiple platforms.
  • Generate and distribute daily, weekly, and monthly reports as required by the Event Services team.
  • Coordinate site inspections, menu tastings, and internal communications with operational departments on behalf of management.
  • Provide client support in the absence of an Event Services Manager, delivering professional and solution-focused service.
  • Ensure event spaces and collateral materials maintain presentation standards consistent with luxury brand expectations.
  • Facilitate effective communication between Banquets, Culinary, Rooms, and operational teams to ensure client needs and special requests are properly conveyed and executed.
  • Provide administrative support and assume coordinator responsibilities across the Event Services Team as required.
  • Other duties as assigned.
