Job description

Key Responsibilities

  1. Event Planning & Management
    1. Plan and execute virtual, hybrid, and in-person events including galas, conferences,
      donor receptions, webinars, community events, and fundraising initiatives.
    2. Develop event timelines, budgets, project plans, and operational checklists.
    3. Coordinate event logistics including venues, audiovisual services, catering,
      transportation, accommodations, and registration systems.
    4. Ensure all event activities are delivered on schedule and within budget.
    5. Manage event risk assessment and contingency planning.
  2. Fundraising & Sponsorship Support
    1. Collaborate with the fundraising team to support event-based fundraising goals.
    2. Coordinate sponsorship fulfillment and ensure sponsor benefits are delivered.
    3. Assist in developing sponsorship packages and event proposals.
    4. Track event revenue, expenses, registrations, and fundraising performance.
    5. Support donor cultivation and stewardship activities during events.
  3. Vendor & Stakeholder Management
    1. Source, negotiate, and manage relationships with vendors and service providers.
    2. Serve as the primary point of contact for event partners, speakers, sponsors, and
      volunteers.
    3. Coordinate contracts, invoices, and event-related documentation.
    4. Ensure high-quality service delivery from all vendors and partners.
  4. Communications & Marketing
    1. Work closely with the marketing team to promote events through email, social media,
      websites, and other channels.
    2. Assist in developing event materials including invitations, presentations, signage,
      sponsorship packages, and attendee communications.
    3. Coordinate speaker communications and event messaging.
    4. Support post-event communications, thank-you campaigns, and impact reporting.
  5. Registration & Attendee Experience
    1. Manage event registration systems and attendee communications.
    2. Coordinate attendee support before, during, and after events.
    3. Develop strategies to enhance attendee engagement and satisfaction.
    4. Ensure a seamless event experience for donors, sponsors, volunteers, speakers, and


Qualifications

Required

  • Bachelor's degree or equivalent experience.
  • 3–5 years of experience in event planning, nonprofit events, fundraising events, or
    project management.
  • Proven experience managing multiple events simultaneously.
  • Strong organizational and project management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Experience managing event budgets and vendor relationships.
  • Experience with virtual event platforms and registration systems.
  • Ability to work independently in a remote environment.
  • Ability to travel across USA


Preferred

  • Experience planning fundraising events for nonprofit organizations.
  • Experience working with sponsors, donors, and volunteers.
