Purpose
The Event Photographer will provide professional photography services documenting the Juneteenth Celebration, including community engagement, performances, vendors, sponsors, volunteers, speakers, activities, and event operations. The photographer will create a comprehensive visual record of the event for promotional, educational, historical, reporting, and archival purposes.
Responsibilities
Pre-Event
• Participate in event briefing with project leadership.
• Review event schedule and photography priorities.
• Coordinate photography timeline and key photo opportunities.
• Identify sponsor recognition, community engagement, and program documentation needs.
Event Day
• Photograph event setup, activities, and breakdown.
• Capture candid and posed photographs throughout the event.
• Document performers, speakers, storytellers, vendors, sponsors, volunteers, youth ambassadors, staff, and attendees.
• Capture photographs of food service, cultural activities, exhibits, and community engagement.
• Document sponsor recognition and partner participation.
• Capture photographs suitable for future marketing, social media, annual reports, grant reports, websites, newsletters, and promotional materials.
• Ensure a diverse representation of participants, families, youth, elders, volunteers, and community members.
Post-Event Deliverables
• Edit and organize photographs.
• Provide a minimum of 100–200 high-resolution edited digital images.
• Provide web-ready and print-ready image files.
• Organize photographs into clearly labeled folders.
• Deliver photographs electronically within fourteen (14) days following the event.
• Provide a selection of photographs highlighting sponsors, performers, volunteers, and community activities.
• Provide at least ten (10) featured images suitable for future promotional use.
Ownership and Usage Rights
As a condition of this agreement, all photographs produced under this contract shall be considered work created for the project. Upon payment, the organization shall receive unrestricted, perpetual rights to use, reproduce, publish, distribute, modify, archive, and display all photographs for educational, promotional, reporting, fundraising, historical, and programmatic purposes.
The photographer grants the organization unlimited use of all delivered images without additional licensing fees or usage restrictions.
The organization may use the photographs in print materials, websites, social media, grant reports, newsletters, press releases, marketing materials, promotional campaigns, and future event promotions.
Qualifications
• Experience photographing community events, festivals, nonprofit events, cultural celebrations, or public gatherings.
• Ability to capture candid and staged photographs.
• Experience editing and delivering professional-quality images.
• Ability to work independently in a fast-paced event environment.
• Strong attention to detail and storytelling through photography.
• Access to professional photography equipment.
Preferred Qualifications
• Experience documenting African American cultural events, Juneteenth celebrations, community festivals, or nonprofit programs.
• Experience providing photography for grant-funded projects and community organizations.
• Familiarity with Southeast Seattle, Skyway, Rainier Valley, or surrounding communities.
