Operations Manager, Programs & Initiatives

Position Overview

Valpro is seeking an Operations Manager, Programs & Initiatives to lead the operational execution of training programs, executive meetings, and initiatives for a strategic partner. This role is responsible for program coordination, event management, stakeholder communications, process documentation, records management, and workflow optimization. The Operations Manager ensures programs and initiatives are executed efficiently, information is maintained accurately, and leaders have visibility into priorities, progress, and outcomes.

Key Responsibilities

Program & Event Operations

  • Manage the end-to-end operations of training programs, workshops, executive meetings, and sponsored events.
  • Coordinate participant communications, registrations, rosters, attendance tracking, surveys, and program records.
  • Manage meeting and event logistics, including venues, contracts, room blocks, catering, transportation, audiovisual support, and onsite execution.
  • Track participation, program status, event costs, and post-program feedback.

Operational Coordination & Administration

  • Prepare, route, and track Statements of Work (SOWs), contracts, invoices, receipts, and billback documentation.
  • Establish and manage intake, tracking, and follow-up processes for consultant requests, initiatives, and action items.
  • Maintain project trackers, operational reports, deadlines, and status updates to ensure visibility and accountability.
  • Support leadership with operational reporting, issue escalation, and execution of key initiatives.

Systems, Documentation & Records Management

  • Serve as the primary administrator for SharePoint, Teams, and Box environments supporting programs and initiatives.
  • Maintain accurate and organized program materials, records, communications, and stakeholder resources.
  • Develop and maintain SOPs, workflow documentation, and operational playbooks.
  • Ensure consistent records management practices, including document organization, version control, and retention standards.

Process Improvement & Automation

  • Evaluate operational processes to identify inefficiencies, duplication, and workflow gaps.
  • Recommend and implement process improvements, standardization efforts, and automation solutions using Microsoft 365 tools.
  • Create scalable, repeatable processes that reduce administrative burden and improve operational effectiveness.

Stakeholder Experience

  • Deliver a professional, responsive, and high-touch experience for members, consultants, committee leaders, vendors, and program participants.
  • Ensure timely, accurate, and effective communication before, during, and after programs and events.
  • Collect and summarize stakeholder feedback to support continuous improvement and engagement.

Basic Qualifications

  • 5+ years of experience in operations, program management, project coordination, event management, or a related field.
  • 5+ years of experience managing end-to-end programs, events, training initiatives, or operational projects.
  • 3+ years of experience utilizing Microsoft 365 applications, including Outlook, Teams, SharePoint, and Excel.
  • 3+ years of experience managing contracts, Statements of Work (SOWs), document workflows, or electronic signature platforms such as DocuSign.
  • 3+ years of experience coordinating multiple projects, priorities, and deadlines in a fast-paced environment.
  • 3+ years of experience supporting cross-functional stakeholders and driving operational execution.
  • 3+ years of experience creating and maintaining operational documentation, records, trackers, or administrative systems.
  • Strong written and verbal communication, organizational, and problem-solving skills.

Preferred Qualifications

  • Experience supporting executive leaders, consulting organizations, associations, or professional services firms.
  • Experience coordinating leadership development, learning, or training programs.
  • Experience developing SOPs, workflow documentation, and operational processes.
  • Experience implementing process improvements, workflow automation, or operational efficiency initiatives.
  • Experience supporting executive meetings, governance activities, or large-scale events.
  • Experience working in a remote or distributed team environment.
