Job Description

Position Summary

The Event Manager independently owns, plans, and executes end-to-end event life cycles for the
company's mid-to-large scale initiatives. This role takes high-level concepts and turns them into
actionable execution blueprints, managing cross-functional team workflows, complex vendor footprints,
and on-site event ecosystems autonomously. This role requires a proactive individual, willing to take ownership of events who can work independently and as part of a team to ensure that all events are executed seamlessly and meet our organization's objectives. 

Accountabilities/Responsibilities:

  • End-to-End Event Ownership
    • Lead the strategic planning, layout design, timeline development, and cross-functional execution for a diverse portfolio of major company events.
    • Translate high-level business goals into concrete event themes, ensuring all internal stakeholders are aligned on messaging and deliverables.
    • Establish and oversee data management protocols across all internal systems; ensure the meticulous tracking of attendance, vendor logs, and performance metrics to maintain a high-quality, reliable single source of truth for the organization.
    • Design and execute comprehensive debrief and feedback loops for attendees and internal stakeholders; synthesize qualitative and quantitative insights into executive-ready wrap-up reports that drive continuous improvement and future event optimization.
  • Partner and Contract Management
    • Source, negotiate with, and manage critical third-party suppliers (including venues, AV production, fabrication, and entertainment).
    • Draft clear service-level expectations, hold vendors accountable to project milestones, cultivate strong partner and sponsor relationships, and ensure all contract terms are strictly met.
  • Financial Oversight
    • Manage assigned event budgets, accurately forecast costs, monitor revenue/cost targets, and ensure complete post-event financial reconciliation.
  • Risk Mitigation and On-Site Leadership
    • Anticipate operational and logistical risks well ahead of time.
    • Create comprehensive contingency strategies and confidently lead on-site teams through unexpected, live-event challenges.
  • Other Duties as Assigned

  • Ability to manage contracts while maximizing vendor value and protecting the organization's legal and financial interests.
  • Ability to make executive decisions in high-pressure situations confidently.
  • Ability to maintain consistent, proactive, and clear touchpoints with all event stakeholders.
  • Ability to manage multiple events simultaneously.
Qualifications

Minimum Qualifications:

  • Bachelor's degree in Event Management, Hospitality, Communications, or a related field.
    • Relevant experience considered in lieu of a degree.
  • 5+ years of experience managing large scale events or similar role.
  • Familiarity with modern event registration tech, CRM tools, and post-event data tracking to measure and prove ROI.
  • Proficient in Microsoft Office Suite, Google Suite, and event management software.
  • Ability to work flexible hours, including evenings and weekends, as needed.

Preferred Qualifications

  • Masters degree in Event Management, Hospitality, Communications, or a related field.
