The entry annual salary for this position is $64,750 - $71,225 - based on qualifications.
JOB SUMMARY
The Operations Director oversees the daily operations of the Coastal Arts Center of Orange Beach (Art Center), including fiscal and operational management; oversight of the Coastal Arts Center campus and wedding and event venue; supervision of event coordination staff; planning, promotion, and management of an extensive annual art festival, exhibitions, educational programs, community outreach initiatives, studio rentals, and facility rentals; volunteer management; public relations; artist relations; grant writing; correspondence; and other administrative and operational functions.
SUPERVISORY RESPONSIBILITIES
Direct and indirect supervisory responsibility for all employees at the Art Center.
ESSENTIAL FUNCTIONS / DUTIES AND RESPONSIBILITIES
All Operations Directors
  1. Oversees daily operations of the programs and/or facilities assigned.
  2. Coordinates facility and/or program events with appropriate City departments and/or vendors.
  3. Develops and maintains annual operating budgets. Maintains financial and activity records on a daily basis. Meets annual budget requirements and reports on such records. Manages revenues and expenses.
  4. Oversees full and part time employees. Coordinates staffing schedules, submits payroll bi-weekly. Monitors staffing needs in advance of position changes. Performs personnel related functions for the department. Provides employee departmental orientation and training.
  5. Ensures compliance with all legal, health and safety regulations.
  6. Oversees logistics for facility usage, staffing, equipment, and program setup and breakdown.
  7. Creates marketing plans and secure advertising contracts, as well as design marketing flyers and social media campaigns.
  8. Coordinates special projects and/or events as assigned.
  9. Establishes departmental processes and procedures.
  10. Schedules tours of facilities for schools, nonprofits, corporate, civic and other groups.
  11. Maintains positive public relations and outreach.
  12. Prepares reports and communications, maintains records and responds to informational inquiries.
  13. Makes public presentations, attends meetings and represents the City as needed.
  14. Provides support to the City Administrator by performing a variety of administrative tasks.
  15. Serves on committees and task forces.
  16. May write, solicit, and manage grant funds.

Art Center Operations Director
  1. Manages and directs the nationally acclaimed annual two-day Art Festival. Coordinates and manages other City art shows, festivals, and special events in conjunction with other City personnel as assigned.
  2. Oversees the operation of the Coastal Arts Center wedding and events venue, ensuring exceptional customer service and a high-quality guest experience.
  3. Supervises Wedding and Event Coordinators, providing leadership, scheduling, training, performance management, and operational oversight.
  4. Develops and maintains policies, procedures, pricing, contracts, and operational standards related to facility rentals, weddings, receptions, corporate events, and other private and public functions.
  5. Oversees event scheduling, client relations, vendor coordination, facility readiness, and logistics to ensure successful execution of all events hosted at the facility.
  6. Works collaboratively with internal departments, outside vendors, wedding professionals, and event clients to ensure safe, efficient, and successful event operations.
  7. Monitors event revenue, rental utilization, and operational performance while identifying opportunities to increase bookings and enhance customer satisfaction.
  8. Manages inventory of displaying artists, studio equipment and maintenance, and oversees the campus grounds.
  9. Schedules, coordinates, and conducts art programs and classes at the Art Center. Works in conjunction with other City facility coordinators to promote art programs and classes.
  10. Works closely with local, state, and regional artists while growing and developing relationships within the art community.
  11. Acts as City liaison and maintains a good working relationship with the local nonprofit support group that provides assistance and funding to the Art Center.

KNOWLEDGE, SKILLS AND ABILITIES
  1. Knowledge and appreciation for the arts and an understanding of the art experience marketed at this City facility and throughout the Art Center activities.
  2. Knowledge of venue operations, event planning, hospitality, customer service, and facility rental management.
  3. Knowledge of City and department rules, policies, and procedures. Understands and follows goals and objectives outlined by the City Administrator, Mayor, and City Council.
  4. Verbal skills to communicate effectively with staff, supervisors, artists, event clients, vendors, volunteers, and the general public.
  5. Math skills to perform basic math and maintain financial and activity records. A strong understanding of profit and loss reports, balance sheets, budgets, revenue management, and event-related financial performance.
  6. Computer skills to utilize customized point-of-sale, human resources, and financial management systems, as well as proficiency in social media, internet applications, email correspondence, participant registration, facility reservation systems, and report preparation.
  7. Writing skills to clearly and professionally prepare reports, correspondence, marketing materials, contracts, and other business communications.
  8. Reading skills to understand laws, regulations, policies, contracts, and procedures pertaining to the operation of the department, facilities, and event venue.
  9. Ability to establish and maintain effective working relationships with artists, nonprofit organizations, event clients, wedding professionals, vendors, volunteers, City staff, and the general public.
  10. Ability to manage multiple projects and events simultaneously while coordinating staff, vendors, clients, facility logistics, and operational priorities.
  11. Ability to exercise sound judgment and make decisions in accordance with established policies, procedures, and City objectives.
  12. Ability to provide exceptional customer service while maintaining professionalism and fostering positive community relationships.

REQUIRED QUALIFICATIONS
  1. Bachelor's Degree in related field OR equivalent recent relevant full-time work experience (one year of full-time recent relevant work experience for every one year of college).
  2. Minimum of five (5) years related experience.
  3. One year of supervisory experience.
  4. Must possess strong organization, communication, leadership and management skills.
  5. Current and valid driver's license.
  6. Willingness to work overtime, weekends, and other nonstandard hours when necessary and or required.
PREFERRED QUALIFICATIONS
  1. Certified American Red Cross first-aid/CPR.

Responsibilities cover numerous buildings and a large campus environment.
The work is not completely sedentary. Typically, the employee may sit comfortably to do some work. However, there is some walking, standing, bending, carrying of light items and driving an automobile/van. During large special events there is much more walking around the 4 acre property. No special physical demands are required to perform the work.
