Job description

The Director of Operations is a public-facing role requiring excellent communication and collaboration skills with families & community partners along with a clear understanding of our mission, values and goals. While most responsibilities are administrative, the position demands strategic, forward-thinking leadership to advance club initiatives, working closely with the senior staff to carry out Far Post’s vision and values through strong collaboration. The Director of Operations reports directly to the Executive Director. They also have support from an administrative assistant.

Roles & Responsibilities: 

Regular communication: Emails, website management, face-to-face interaction at events and various programs, and social media

Facility and office management: Secure fields, maintain a club-wide schedule, communicate with staff, set schedules and handle schedule conflicts or problems

Actively manage and constantly enhance the quality of our soccer complexes and fields to create the best possible experience for club members and hosted events. This includes our office spaces, storage spaces and meeting venues.

Staffing support: Schedule staff meetings, mandatory coaches’ meetings, necessary team manager support meetings and any regular messaging to keep all people informed.

Fields & Equipment: Work with staff to identify and address needs related to playing surfaces, site coordination and contracting, equipment, practice decisions 

Clinic/Camps: Help with scheduling, assist with the planning, promote programs to membership, upload details into PlayMetrics and on website.

Futsal: Work with league coordinator on the schedule for the league and any league related details.

Tournaments & Leagues: Serve as the primary contact for leagues & tournaments, answering questions, managing payments, coordinating accommodations. Serve as lead coordinator for the Alliance Cup.

Tryout coordination & oversight: Book the site and oversee the process of evaluating, decisions and communication of club positions.

Strategic Partnerships: Main connection with strategic partnerships like Adidas, PlayMetrics, Soccer.com, Veo, Vermont Soccer Association, Queen City FC, Vermont Premier League & Alliance Cup partners

Website management & social media support and postings – Facebook and Instagram

Organizational technology – mainly PlayMetrics, GotSport, Soccer.com & Google documents

Event planning (Calcutta, Coach Meetings, Club-wide presentations, etc.)

Not worried about getting hands dirty – turf installation and pick up, moving goals and equipment, etc.

Work closely with senior staff to support the alignment of the club’s strategic initiatives and proper execution. Responsible for coordinating regular meetings among all staff, coaches and volunteers.

Some bookkeeping tasks but focused on working with our financial institutions, and working directly with our bookkeeper (Reconciled) and payroll (Gusto).

Refine existing processes, systems and policies to ensure consistency and an efficient workflow. 

Communicate frequently with members, partners & other stakeholders as well as building relationships with league representatives, state & national governing bodies.

Work with volunteers to coordinate team travel arrangements, event planning and fundraising

Special advisor to the director: Guide fundraising efforts, refine processes and policies, help with revenue generation activities and program development, strategically plan for greater sustainability.

Far Post has travel teams from U9 to Academy levels, offering premier & club teams that compete in the Vermont Premier League and regional tournaments and showcases. We host elite indoor college showcases in the winter and the Alliance Cup each June in partnership with Queen City FC. We are a non-profit organziation.
