Navitus Health Solutions is seeking a Coordinator, Facilities and Operations to join our team!

This is an onsite role at our Appleton, Wisconsin office.

The Coordinator, Facilities and Operations is responsible for coordinating facilities maintenance and operational support activities for all locations whether owned, leased, or shared. This position supports repair and maintenance needs, partners with vendors to ensure timely resolution of facilities issues, assists with budget-related tracking and administrative support, and coordinates safety training activities for the Critical Incident Response Team (CIRT). This role interacts with many roles across the enterprise due to tasks related to onboarding of associates.

How do I make an impact on my team?   

  • Coordinate facilities maintenance and administrative support for assigned locations.
  • Prepare correspondence, memos, presentations, minutes, and reports using software applications.
  • Coordinate room set-up needs and facility support for meetings and events, including supplies, layout changes, and follow-up with facilities or janitorial teams as needed; including making sound purchasing decisions for supplies when necessary at various campuses.
  • Assist with the development, preparation, and maintenance of facility-related policies and procedures, including campus-specific emergency procedures.
  • Coordinate safety training activities for all members of the Critical Incident Response Team (CIRT) and maintain related schedules, records, and communications.
  • Maintain safety equipment across campuses, reorder supplies, verify all campus equipment and supplies are current.
  • Work with vendors across various locations to coordinate repairs, maintenance services, and follow-up on outstanding facilities issues.
  • Maintain accuracy with minimal errors, while assisting with budget activities, creating and maintaining distribution lists for internal communications, and new hire setup for identity management.
  • Provide backup coverage for the receptionist.
  • Serve as a resource to management and employees in areas of responsibility.
  • Other duties as assigned.

  • High school diploma or GED required.
  • Notary Public preferred.
  • 1-2 years of administrative experience required.
  • 2 years of experience in facilities coordination, administrative support, or maintenance operations in a corporate, health care, or insurance setting required.
  • Proficiency in Outlook, PowerPoint, Word, and Excel required.
  • Knowledge of and experience with SharePoint, Visio, graphics programs, and database programs preferred.
  • Participate in, adhere to, and support compliance program objectives.
  • The ability to consistently interact cooperatively and respectfully with other employees.
