Job description

Position Summary

Taylor Event Rental is seeking a detail-oriented, customer-focused Customer Service

Representative to be the front line of our event rental business. In this role, you will be the

primary point of contact for clients planning weddings, corporate events, parties, and special

occasions. You will guide customers through product selection, build accurate orders, manage

the rental schedule, and prepare invoices — ensuring every event is set up for success from the

first phone call to final pickup.

The ideal candidate is friendly, organized, and thrives in a fast-paced environment where no two

days look the same. Strong communication skills, comfort with rental management software,

and the ability to juggle multiple events on different timelines are essential.

Key Responsibilities

Order Creation Management

• Build new rental orders in the companys rental management system based on customer

needs, event details, and inventory availability.

• Provide accurate quotes for tents, tables, chairs, linens, lighting, dance floors, glassware,

and other rental inventory.

• Recommend appropriate quantities, layouts, and complementary items based on guest

count, venue, and event type.

• Confirm order details with customers in writing and obtain signed rental agreements and

required deposits.

• Process order changes, add-ons, and last-minute substitutions while keeping inventory

commitments accurate.

Schedule Calendar Updates

• Maintain and continuously update the rental calendar to reflect reservations, delivery

windows, pickups, and equipment availability.

• Coordinate delivery and pickup times with customers, venues, and the operations / driver

team.

• Identify and resolve scheduling conflicts, double bookings, and inventory shortfalls before

they reach the customer.

• Communicate schedule changes promptly to customers and internal teams (warehouse,

drivers, setup crews).

• Keep job tickets, route sheets, and pull lists accurate and up to date for the operations

team.


Invoicing Payments

• Create, review, and send invoices for new orders, deposits, balances due, and post-event

charges (damages, missing items, late returns).

• Process customer payments via credit card, ACH, check, and other approved methods,

and apply payments to the correct invoices.

• Follow up on outstanding balances and past-due invoices in a professional, customer-

friendly manner.

• Reconcile final invoices after each event, accounting for additions, returns, and any

applicable fees.

• Keep customer accounts, contact records, and payment history accurate in the system.

Customer Service Communication

• Answer incoming calls, emails, walk-ins, and online inquiries promptly and professionally.

• Educate customers on rental products, pricing, policies, delivery options, and setup

expectations.

• Resolve customer concerns, complaints, and unexpected event-day issues with urgency

and a solutions-first attitude.

• Follow up after events to confirm satisfaction and encourage repeat bookings, reviews,

and referrals.

• Represent Taylor Event Rental as a friendly, knowledgeable, and reliable partner for every

client.

General Office Team Support

• Maintain organized digital and physical records of contracts, COIs, permits, and customer

documents.

• Support showroom appointments and in-person consultations as needed.

• Coordinate with warehouse staff to confirm equipment is staged, cleaned, and ready for

upcoming events.

• Contribute to process improvements that make booking, scheduling, and invoicing faster

and more accurate.

Required Qualifications

• High school diploma or equivalent.

• 1+ years of customer service, sales, hospitality, or event-industry experience.

• Strong written and verbal communication skills with a professional, upbeat phone

presence.

• Excellent organization and time-management skills with proven ability to handle multiple

orders and deadlines simultaneously.

• Comfortable with computers, email, and learning new software systems quickly.

• High attention to detail — especially with quantities, dates, addresses, and pricing.

• Reliable, punctual, and a strong team player.

Preferred Qualifications

• Prior experience in event rental, party rental, equipment rental, catering, hospitality, or

wedding/event planning.


• Experience with rental management software (e.g., Point of Rental, Goodshuffle Pro,

InflatableOffice, Booqable) or CRM/invoicing tools (e.g., QuickBooks, Stripe, Square).

• Working knowledge of tents, linens, tables, chairs, and standard event setup

configurations.

• Bilingual (English/Spanish) a plus.

Schedule Working Conditions

• Primarily Monday–Friday business hours with occasional Saturdays during peak event

season.

• Office and showroom environment with periodic time in the warehouse to verify inventory.

• Occasional lifting up to 25 lbs (sample products, paperwork, light staging).

• Busy seasonal workload — spring through fall is peak event season.
