About Us

Martens Group owns and operates multiple Tim Hortons restaurants across Winnipeg and surrounding areas. We are looking for a highly organized and detail-oriented Data Entry Clerk to join our administrative team. This role is ideal for someone who enjoys working with numbers, documents, invoices, and office systems in a fast-paced business environment.

Position Summary

The Data Entry Clerk is responsible for accurately entering, organizing, and maintaining financial and operational records. The successful candidate will support bookkeeping, payroll administration, invoice processing, filing, reporting, and general office administration while ensuring accuracy and confidentiality at all times.

Key ResponsibilitiesData Entry & Bookkeeping
  • Enter invoices into QuickBooks and internal accounting systems

  • Process vendor invoices and ensure proper coding and documentation

  • Maintain accounts payable records and prepare vendor payments by Visa and cheque

  • Verify invoices with maintenance and management teams prior to payment

  • Update credit card information and notify vendors of changes

  • Close invoices in Clearview and maintain accurate financial records

Payroll & Financial Administration
  • Enter payroll data into Excel and QuickBooks

  • Assist with annual payroll tax preparation

  • Prepare labour reports and financial tracking spreadsheets

  • Process mileage reimbursements and manager cheques

  • Maintain donation and event expense tracking records

  • Assist with fiscal year file updates and asset purchase records

Office Administration
  • Sort and distribute incoming mail

  • Maintain filing systems for financial, payroll, insurance, and operational documents

  • Record JHSC (Joint Health & Safety Committee) meeting minutes

  • Order office supplies, first aid supplies, printer supplies, and office groceries

  • Coordinate administrative purchasing through approved vendors

Reporting & Compliance
  • File GST and PST documentation

  • Submit quarterly water meter readings

  • Maintain insurance documentation and distribute insurance certificates to landlords and property management companies

  • Track annual insurance requirements and vendor documentation

  • Assist with monthly and quarterly administrative reporting tasks

Vendor & Invoice Management

Process invoices from various service providers, including utilities, telecommunications, maintenance, waste management, cleaning services, HVAC, fire and safety, equipment suppliers, delivery platforms, and other operational vendors.

Qualifications & Requirements
  • Previous experience in data entry, bookkeeping, accounting, or office administration

  • Proficiency with QuickBooks, Microsoft Excel, and Microsoft Office applications

  • Strong attention to detail and a high level of accuracy

  • Excellent organizational and time management skills

  • Ability to maintain confidentiality and handle sensitive financial information

  • Strong written and verbal communication skills

  • Ability to manage multiple deadlines and recurring monthly, quarterly, and annual tasks

  • Reliable transportation

  • Must be legally eligible to work in Canada

Preferred Qualifications
  • Experience with accounts payable processing

  • Familiarity with payroll administration

  • Experience working in a multi-location retail, restaurant, or hospitality environment

  • Knowledge of GST/PST filing procedures is an asset
