The Event Services Manager oversees the comprehensive client and guest experience for non-ticketed corporate, non-profit, social and internal events at the Dr. Phillips Center.  This fast-paced role demands attention to detail, exceptional collaboration and communication skills, and a passion for hospitality. 

essential job functions/Responsibilities

  • Manage and execute all non-ticketed external and internal events, building strong client relationships while securing event details.  Support clients with creative floor plan designs, comprehensive audio-visual plans, creative menu proposals, detailed banquet event orders, and event timelines for distribution to all internal operations teams and clients.
  • Develop accurate service and equipment estimates aligned with client budgets while strategically identifying upselling opportunities in partnership with Sales, F&B and Production teams to recommend enhancements to increase event revenue.
  • Provide first-class client experience by partnering with clients providing them with a consultative approach to servicing their events.  Ensure timely & detailed communication, host and engage clients with professionalism and diplomacy, and conduct thorough facility tours for clients and third-party partners to showcase the venue.
  • Oversee the planning and distribution of all event information, production details, and timelines to operation teams within the building.  Collaborate in internal meetings to anticipate challenges, review logistics, and ensure flawless event execution.
  • Coordinate closely with external vendors through pre-event planning, on-site execution, and post-event follow-up, navigating the challenges of overlapping shows and complex load-ins/loadouts to ensure seamless operations and minimize the impact on all stakeholders. 
  • Submit client invoices and internal finance documentation for all event services and rentals, ensuring accurate coding and timely payments to support departmental operations and revenue success. 
  • Serve on-site as primary client liaison, providing leadership to operations teams and vendors throughout event setup, execution, and breakdown.  Act as the manager on duty, proactively addressing and resolving all guest needs. 
  • Lead post-event debriefs with internal teams to evaluate successes, identify opportunities for improvement, and capture lessons learned for future events. 
  • Manage internal events and all related financials with accuracy, fostering strong relationships with internal clients to ensure seamless and successful event execution. 
                         
  • Cultivate industry relationships and attend trade shows, networking events and professional meetups to stay informed on trends and best practices in the events industry. 
  • Maintain composure under pressure while working effectively with internal and external clients, including high-touch or demanding guests, demonstrating patience, tact, diplomacy and consistently upholding the Dr. Phillips Center standards of excellence.
     
  • Able to effectively communicate in English in both written and oral forms.
  • Other duties as assigned.

Knowledge and Experience

  • Associate’s or Bachelor’s degree in Events, Hospitality, Business Administration, or related field strongly preferred.
  • Minimum of 3-5 years of event management experience. CMP strongly preferred.
  • Proficient in office system skills (incl. Excel, Word, PowerPoint, Outlook).  Must be able to complete moderately complex mathematical functions. 
  • Event Industry Software knowledge (Momentus Elite, Tripleseat and Social Tables a plus).
  • Ability to plan, prioritize, organize and multi-task in a fast-paced environment.
  • Creative problem-solving skills and high enthusiasm for the events industry.  
  • Outstanding interpersonal, client relations and guest service skills. Expertise serving sophisticated clientele.
  • Strong work ethic with limited supervision.
