Job description

Reporting to the Advancement Operations Manager, the Advancement Operations Specialist contributes to efficient and effective gift-processing workflows and data management. The position contributes to the overall success of the Advancement team's fundraising and donor engagement efforts.
REQUIRED QUALIFICATIONS
The Advancement Operations Specialist must meet the three qualifications below to be considered for the position:
• Proficiency using Raiser's Edge (or a similar donor CRM)*
• Proficiency with Microsoft Excel and Word
• Close attention to detail
*Applicants without Raiser's Edge or similar donor CRM experience should not apply.
KEY RESPONSIBILITIES
The Advancement Operations Specialist position is responsible for the following key functions:
1. Gift Processing
• Performs and coordinates daily gift processing functions to ensure timely and accurate data entry into the Raiser's Edge donor database
• Reviews gift entries to ensure data accuracy and to identify issues for data clean-up
• Uploads and records gift and donor documentation in appropriate database fields
• Generates weekly gift acknowledgment letters; works with the Advancement Operations Coordinator to ensure letters are signed, scanned, and mailed in a timely fashion - with scanned letters uploaded to Raiser's Edge donor records and collaborative folders
• Generates, sends, and documents monthly gift tribute acknowledgment emails
• Coordinates with the Associate Director of Annual Giving and Digital Management to support events and fundraising appeals
• Supports the Advancement Operations Manager in monthly gift reconciliation processes
2. Data Management Services
• Uses the Raiser's Edge donor CRM to create queries and exports
• Uses Raiser's Edge to fulfill data requests from Advancement colleagues
• Produces weekly and on-demand financial fundraising reports for the VP of Advancement
• Identifies issues for data clean-up; and completes ongoing data clean-up tasks
• Manages a calendar of annual and periodic data imports and updates according to Operations
policies and procedures
3. General Operations Duties:
• Actively participates in weekly Advancement Operations team meetings
• Uses technology to track and manage projects and tasks
• Consistently meets project and task deadlines
• Provides task support to Operations colleagues as needed
• Provides event support for Advancement events (including weekend and evening events) as
needed
The Advancement Operations Specialist should also meet most of the qualifications below:
• An associate's degree from an accredited college or university. A bachelor's degree is
preferred.
• Proficiency using project management tools, preferably Asana and Microsoft Teams
• Analytical thinking skills; strong organizational skills; efficient task management; and
excellent customer service and interpersonal skills
• Collaborative and supportive team mindset
• Investigative/curious nature that results in a willingness to proactively initiate
action
• Ability to handle confidential information in a professional manner
