What is an event associate?

Event Associates are professionals who assist in the planning, coordination, and execution of events such as conferences, meetings, weddings, and trade shows. Their responsibilities often include handling logistics, communicating with vendors, setting up event spaces, and ensuring that everything runs smoothly on the day of the event. They work closely with event managers and other staff to deliver a successful experience for attendees. Attention to detail, strong organizational skills, and the ability to work under pressure are key qualities for this role.

What are the key skills and qualifications needed to thrive as an event associate?

To thrive as an Event Associate, you need strong organizational skills, attention to detail, and experience in event planning or hospitality, often supported by a relevant degree or certificate. Familiarity with event management software, registration platforms, and budgeting tools is typically required. Excellent communication, problem-solving, and teamwork abilities help you coordinate with vendors, clients, and team members. These skills are essential for executing successful events, ensuring client satisfaction, and handling unexpected challenges efficiently.

What are some common challenges faced by event associates when coordinating multiple events simultaneously?

Event Associates often juggle several events at once, which can present challenges such as managing competing deadlines, coordinating logistics across different venues, and ensuring clear communication with vendors and team members. Job description

THE ROLEย

CTC's Talent Acquisition team is growing, andย we'reย adding aย Campusย Relationsย & Eventsย Associateย toย execute ourย fullย calendar of campus-relatedย events.ย ย ย

You'll be the person who keeps CTC's relationships with career centers, faculty, and student organizationsย activeย year-round, and who runs theย full mix ofย eventsย - office visits,ย campusย info sessions,ย andย virtual eventsย - thatย put CTC in front of the right students at the right time.ย Like everyone on ourย campus team,ย you'llย be team-first: this roleย isn'tย limited toย what'sย listed below, andย we'reย looking for someone who jumps in wherever the team needs a hand.ย

WHAT YOU'LL DO

University Relations & Partnershipsย

  • Own and grow CTC's relationships with careerย centersย andย student organizations across our target campuses -ย you'reย the familiar, trusted face they hear from consistently, not just during peak season.ย
  • Serve as CTC's primary point of contact for student organization partnerships and sponsorships, negotiating terms and maintaining the relationship year-round.ย
  • Track relationship health and engagement across schools and flag opportunities or gaps to the Campus Recruiter and Campus Program Manager.ย
  • Identify and help develop new partnership opportunities across target campuses - new student organizations, academic departments, or affinity groups where CTC doesn't yet have a presence.ย

Event Executionย

  • Coordinateย and run CTC's campus events calendar - info sessions, coffee chats,ย tradingย competitions,ย office visits, and Super Day support -ย handling everything from planningย logisticsย to day-of execution.ย
  • Track and manage metrics for each event (attendance, pipeline generated, conversion) and run post-event lookbacks, sharing what worked and didn't work with the team to improve future events.ย
  • Project-manage event logistics end-to-end: venue/vendor coordination, materials and swag, travel, and on-site staffing - partnering with the Recruiting Coordinator where scheduling overlaps and making sure every event runs without a hitch.ย

WHAT WE'RE LOOKING FORย

  • Bachelor's degree (all majors and concentrations welcome)
  • 1+ย years of experience in campus recruiting,ย recruiting coordination,ย orย eventย planning
  • A natural relationship-builderย who builds credibility quickly with students, studentย organizationย leaders, andย careerย centers
  • Highly organized with strongย attentionย toย detail; able to manage multiple schools, events, and partners simultaneouslyย
  • A team-first mentalityย ย ย
  • Proficient and comfortableย tracking event andย partnershipย metrics andย using data to evaluate what workedย andย didn'tย workย
  • Minimal travel required
  • Experience working with an ATS, preferably Greenhouse, a plus
