SUMMARY: The Consignment Coordinator & Cataloging Luxury position combines client relations, consignment management, and cataloging duties to ensure smooth operations and exceptional client experiences. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, client-focused environment with a passion for luxury goods and auction excellence with a positive attitude. This is a full-time, in-person position based in New York, requiring flexibility and professionalism during high-volume sales periods and special events.

COMPENSATION: $23-25/hr. (Commensurate based on experience).


ESSENTIAL DUTIES/RESPONSIBILITIES:

  • Support daily departmental operations and team priorities, maintaining smooth communication with clients and internal departments to ensure seamless workflow.
  • Support intake, verification, labeling, and tracking of incoming consignments; manage department-wide inventories and ensure accurate property
  • Pack and ship high-value consignment property, and support order fulfilment with meticulous care, ensuring proper handling and secure delivery of fragile luxury goods.
  • Assist with client-facing responsibilities including drop-offs, pick-ups, appointments, and pre-auction communication with discretion and professionalism.
  • Research and catalog luxury items with attention to product detail and market relevance.
  • Collaborate with catalog production, marketing, and photography teams on catalogs, promotional materials, social media content, and luxury campaign initiatives.
  • Coordinate logistics for previews and events, including gallery preparation, venue communication, catering, RSVP tracking, floral arrangements, and vendor relations.
  • Assist in private sale operations, including client payments, The Boutique transactions, and maintaining high-standard gallery displays.
  • Provide on-site support during preview events, gallery displays, appraisal days, etc.
  • Follow all security and office procedures; assist with physical tasks as needed (including lifting up to 50 lbs.)
  • Be willing to take on additional tasks and projects to benefit the Luxury Department, contributing to its success and growth.
  • Be willing to travel as needed.
  • Additional responsibilities based on business needs are included.

Requirements

EDUCATION AND/OR EXPERIENCE

  • Bachelor's degree in business administration or a related field preferred.
  • Experience or working knowledge of luxury brands and/or the auction industry is preferred
  • Discretion and professionalism in handling confidential client and business information.
  • A genuine passion for luxury goods and the auction industry is a plus.


SKILLS AND ABILITIES
  • Excellent attention to detail with the ability to prioritize and multitask effectively.
  • Capable of managing multiple projects simultaneously under tight deadlines.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Flexibility to work evenings and weekends as needed to support events, previews, and auction deadlines.
  • Proficiency in Microsoft Office Suite, including:

- Word: document formatting, templates, and mail merge

- Excel: spreadsheets, data reporting, and analysis

- Outlook: calendar management, and handling high-volume correspondence


WORK ENVIRONMENT:

This is a full-time, on-site position based at the Heritage Auctions New York Office. This position may require occasional evening or weekend work during luxury auctions or special events. The Consignment Coordinator will work in an upscale, professional environment, maintaining the highest standards of appearance and conduct.
