Title: Program Resource Coordinator
Program/Dept: The Vanguard School
Reports To: Assistant Director of Education
Work Year/Day: 12 month, 8 hours per day (including a 30 minute unpaid break)
FLSA Status: Non-Exempt



Minimum Qualifications

  1. Bachelor's degree in Education or related field preferred
  2. Minimum of three years' administrative experience in an educational setting.
  3. Ability to use technology and software applications at a proficient level.

  4. Excellent organizational skills including managing multiple changing priorities and meeting deadlines. 

  5. Excellent communication skills. 

  6. Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary.

  7. Ability to engage intellectually and physically in all components of the work process.

  8. Ability to establish and maintain cooperative and effective working relationships with all constituents (administrators, colleagues, clients/students, parents, volunteers, and others).

General Duties and Responsibilities 

Under the direction of the Assistant Director of Education, the Program Resource Coordinator will assist in curriculum management, oversight of resources and materials, and teacher/ student access to materials.  The support coordinator assists with the facilitation of standardized and norm-referenced testing sessions, professional development for staff, record keeping, and purchasing. This role will provide general administrative and operational support to the Vanguard School Directors. This position is 12 months and supports the school year and the extended school year program.

Specific Duties and Responsibilities

  • Work collaboratively with administrators and staff in the continuous curriculum revision cycle of evaluation, implementation, and development.
  • Participate in the adoption of new curriculum and via assisting in research, coordination, ordering, preparation, and dissemination of curricular materials.
  • Coordinate and assist with various departments and service provided to ensure that staff and students have access to necessary resources and materials
  • Purchase and oversee the receipt of equipment and supplies
  • Coordinate with outside vendors and internal business office for large/bulk orders
  • Barcode, and catalog all curriculum, materials, and resources for the school.
  • Work in collaboration with technology staff to maintain and update online resources
  • Maintain and audit the school-wide resources management system.
  • Assist in the research of and provide electronic access to subject materials and enrichment activities for teacher use in all grade levels.  
  • Coordinate with teaching staff to ensure classrooms have the correct materials and supplies based on student need and ability
  • Schedule, coordinate, and assist in implementation of standardized tests, and other norm-referenced curriculum and instruction initiatives.  
  • Schedule, coordinate, and assist in the facilitation of professional development that support the implementation of Curriculum & Instruction.
  • Maintain and update professional development records using a variety of software and applications
  • ESY- Assist in the curriculum development and programming.
  • ESY- Manage an online tracking system
  • Assist with other administrative duties and program operations as required.
  • Assist with planning and coordination of school-wide events and activities including but not limited to assemblies, special events, picture day.
  • Maintain confidentiality of all information relating to the organization and its programs, students, parents, staff, clients, donors, and board members.
  • Maintain a professional, confidential and ethical relationship with colleagues, students and parents at all times.
  • Attend and actively participate in all staff meetings, in-service meetings, and other meetings as required.
  • Perform related duties, special assignments and projects as assigned.
