We're looking for an Estimating Coordinator to be the backbone of our Estimating Department — keeping project documentation sharp, records airtight, and estimators armed with exactly what they need to win the next job.

Requirements:

Here’s what you get to do:  

Estimating Support 

  • Support estimators throughout the estimating process by ensuring required project documentation is organized and readily available. 

  • Maintain estimating logs, project tracking reports, and department spreadsheets. 

  • Assist with organizing department workload and priorities to support estimating deadlines. 

  • Maintain estimating templates and supporting documentation. 

  • Assist with special estimating projects and department initiatives. 

Documentation Management 

  • Download, organize, and maintain construction plans, specifications, engineering documents, addenda, and supporting project documentation. 

  • Track plan revisions and ensure the estimating team is working from the most current documents. 

  • Maintain electronic project folders in accordance with company standards. 

Department Coordination 

  • Coordinate communication between Estimating, Sales, Purchasing, Accounting, Operations, Field teams, and other departments as needed. 

  • Communicate with customers, builders, vendors, and internal departments to obtain missing project information and documentation. 

  • Assist with project handoffs by ensuring required documentation is complete and available. 

  • Support continuous improvement of estimating procedures and department workflows. 

  • Assist in developing, maintaining, and updating department templates, procedures, and documentation. 

Administrative Support 

  • Prepare reports, spreadsheets, and project tracking documents. 

  • Perform data entry and maintain project information within company software systems. 

  • Schedule meetings and assist with departmental coordination. 

  • Maintain confidential company, customer, and project information. 

This position may assist with additional estimating, project coordination, and administrative or operational duties as assigned, which may evolve as the department grows and business needs change. 

Here’s why you’d be a great fit for the role:  

  • High School Diploma or GED required. 

  • Minimum of two (2) years of experience in the construction industry preferred. 

  • Previous administrative, coordination, or project support experience preferred. 

  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word). 

  • Strong organizational, communication, and time management skills. 

  • Excellent attention to detail and accuracy. 

  • Ability to prioritize multiple projects and meet deadlines in a fast-paced environment. 

  • Ability to work independently and collaboratively within a team environment. 

  • Experience supporting estimating, purchasing, project management, or operations teams within the construction industry are preferred. 

  • Experience reading and organizing construction plans, specifications, and supporting documents. 

  • Experience using estimating software, construction management software, CRM systems, or ERP software. 

  • Experience with electronic document management systems.
