Sachse Construction is seeking a highly organized, detail-oriented, and proactive Commercial Preconstruction Estimating Assistant to support our Preconstruction team throughout the project pursuit, bidding and buying process. This role plays a critical part in coordinating bid activities, maintaining project and Trade Partner information, and assisting with project turnover activities.

Responsibilities
Opportunity & Bid Support
  • Enter and maintain pursuit and project information across company platforms, including CRM systems, BuildingConnected, time-tracking software, and shared drives.
  • Order plans, specifications, and bidding documents.
  • Coordinate part of the bid and proposal activities, including bid bond requests, Newrooms notifications for additional advertising, bid deliveries, and submissions.
  • Create, compile, organize, and maintain project documents electronically and print.
  • Update project status and related tracking systems as opportunities progress.
Trade Partner Coordination:
  • Solicit and secure Trade Partner participation through phone calls, emails, and other outreach efforts.
  • Identify qualified and specialty Trade Partners through industry and manufacturers resources.
  • Collect and maintain information required for Trade Partners setup and prequalification.
Reporting & Project Award Support:
  • Maintain estimating reports and bid activity logs.
  • Coordinate internal award announcements and project notifications.
  • Archive project files and maintain organized project records.
Team & Administrative Support:
  • Provide administrative support to the Preconstruction team.
  • Coordinate weekly team meeting logistics, food orders, and team events.
  • Support Trade Partner appreciation events and department initiatives.
  • Maintain department organization and document management standards.
  • Collaborate with and maintain strong working relationship with the Executive Assistant to the department VP to ensure team efficiency.
May be Asked to Assist with:
  • Tracking opportunities and maintain accurate reporting throughout the pursuit process.
  • Monitoring bid coverage and track Trade Partner participation and responses.
  • Enter subcontractor pricing into bid spreadsheets and leveling sheets.
  • Prepare agendas and supporting materials for departmental team meetings.
  • Support Business Development initiatives through administrative coordination.
  • Project turnover activities following award.
  • Provide support to other departments and company leadership as needed.
  • Fill in on interdepartmental committees.
Qualifications
  • Construction, estimating, preconstruction, project management, or administrative support experience preferred.
  • Strong communication and proofreading skills
  • Ability to interact professionally with clients, Trade Partners, and team members to support company goals and a positive culture.
  • Excellent organization, time management, and prioritization abilities.
  • Resourceful problem solver with strong attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Self-motivated professional who takes initiative and follows through on commitments.
  • Strong interpersonal skills with the ability to handle confidential and sensitive matters professionally.
  • Proficient in Microsoft Office Suite, including Excel, Outlook, and Word.
  • Experience preferred with Vista, BuildingConnected, PlanGrid, CRM platforms, and other construction software.
