Position title: Office Manager

Location: Equine Therapy Ranch, Plant City, FL

Summary Our ranch provides equine - assisted therapy for veterans and children with special needs. We are seeking a compassionate, highly organized Office Manager with experience in a therapy, counseling, medical, or behavioral - health setting. This role is the administrative backbone of our ranch - supporting clients, staff, and daily operations with professionalism and heart.

Responsibilities include (but are not limited to):

  • Client Intake & Coordination: Manage new client inquiries, intake paperwork, eligibility verification, and onboarding for therapy services.
  • Scheduling Management: Coordinate therapy sessions, staff calendars, arena/horse usage schedules, cancellations, and waitlists.
  • Human Resources Support: Assist with onboarding, maintaining personnel files, timesheet tracking, compliance documentation, and communication with staff.
  • Administrative Operations: Oversee daily office operations, maintain records, manage supplies, and ensure smooth communication across the ranch.
  • Accounting & Billing: Support bookkeeping tasks such as invoicing, payment tracking, expense reporting, and coordination with the ranch’s accountant.
  • Client & Visitor Support: Serve as the first point of contact for families, veterans, volunteers, and community partners.
  • Minimum 1 year of experience in a therapy, medical, counseling, or similar office environment.
  • Strong understanding of client confidentiality, HIPAA aligned practices, and trauma informed communication.
  • Experience with HR processes, scheduling systems, and basic accounting software.
  • Excellent communication, organization, and multitasking skills.
  • Comfort working in a ranch environment around horses and outdoor activity.
