Manager, Payroll amp; Benefits
About the Role
We are seeking a highly skilled and experienced Manager, Payroll amp; Benefits that will oversee all payroll and employee benefits functions within our organization, ensuring accuracy, compliance, and efficiency. This role is critical in managing the end-to-end payroll process, managing comprehensive benefits programs, and maintaining adherence to federal, state, and local regulations. The Manager will have an opportunity to influence HR operations and lead key payroll and benefits initiatives. They will also be responsible for driving continuous improvement initiatives, implementing best practices, and leveraging technology to enhance payroll and benefits operations. Ultimately, this position ensures that employees are compensated accurately and timely, and that benefits programs support workforce satisfaction and retention.
This position manages two direct reports.

Key Responsibilities
Payroll and Timekeeping
  • Serve as the functional lead for the Labor module during an enterprise ERP implementation. Responsible for requirement definitions, process mapping, system design, configuration validation, user acceptance testing, and change management. Ensure accurate labor costing, time tracking, and payroll integration while supporting a successful system rollout.
  • Manage end-to-end payroll process for 1,000+ employees bi-weekly payroll – import hours, audit payroll preview, review PR registers.
  • Act as the primary authority on payroll taxes including federal, state, and local requirements.
  • Manage and file all required tax forms, including but not limited to: Forms 941, 940, W-2, W-3, State and local withholding and unemployment filings
  • Manage Time Keeping systems for all changes: New Hires and Terms, Rate changes, Dept. Changes, Shift changes or set up new shifts
  • Oversee/monitor/track all PTO from calculating initial eligibility through verification of usage
  • Manage employee tax with holdings, direct deposits, and garnishments
  • Manage 401(k) funding requests and reconcile calculated company matching, file contribution reports and confirmations
  • Manage quarterly calculations of goal sharing bonuses and process year end management bonus payroll
  • Oversee monthly PR journal entries (G/L, Benefits, PR/Benefits Accrual, 401(k) Match, Vacation accrual, Vacation Bank accrual, severance entries
  • Provide New Manager training timecard training
  • Paycom and Epicor experience a plus, proficient with or the ability to quickly learn payroll software required.

Benefits, Wellness and Leave Administration
  • Partner with Director, HR Operations to develop multi-year strategic recommendations for benefit programs balancing multiple perspectives (e.g., regulatory, corporate, financial and employee perspectives).
  • Manage the companies’ health and welfare benefits programs and defined contribution plan in compliance with plan documents and contracts including annual benefits processes, including open enrollment, plan renewals, employee communications, and wellness initiatives. Conducts a competitive analysis to ensure benefit programs are competitive. Ensures benefits are cost-effective and aligned with the organizational strategy.
  • Manage the day-to-day employee benefit program operations; process eligibility, enrollment, life events and terminations in our Paycom HRIS.
  • Manage leave programs, including parental, short and long-term disability, FMLA, ADA, and other leaves of absence and ensures that all leaves are in compliance with company policies, federal, state and city leave laws. Informs employees of company policies and procedures and eligibility for various types of leaves, assist with the claims process, coordinates all paperwork with third-party vendor
  • Manage the wellness program and activities designed to improve employee health and wellbeing. Recommend changes to the wellness program or additions that reflect the changing needs of employees.
  • Manage daily/weekly 401K administration, reporting, overall plan maintenance, manage formal audit process, year-end true up process, and coordinates Financial Wellness sessions.
  • Partner with brokers and third-party administrators to ensure all benefit plans sponsored through subsidiaries meet all federal and state requirements including, but not limited to 5500 filings, FSA discrimination testing, ACA reporting and HIPAA required notices.
  • Foster collaboration across corporate functions to accomplish key H amp;W benefits objectives and compliance.
  • Serve as the primary presenter and spokesperson for employee benefits programs and lead open enrollment meetings, onboarding sessions, and benefits workshops for large and diverse audiences.
  • Review and provide feedback related to data analytics in the research of market trends, benefits survey and stay abreast of emerging benefit trends to maintain a competitive benefits portfolio
  • Manages the reconciliation of monthly billing statements from benefit vendors
  • Manages the writing/creation of communication pieces such as open enrollment guides, and company intranet content, etc. Assists in communicating changes to employees.
  • Performs ongoing data validation to ensure ACA 1094 and 1095-C IRS filings are correct and in compliance
  • Lead and handle a variety of annual projects including, but not limited to, 5500 filings, and non-discrimination testing, summary annual reports, summaries of material modification, summary plan descriptions.
  • Complies with federal, state, and local legal requirements by studying new and existing legislation for benefits programs.
  • Collaborates with brokers, vendors and third-party administrators
  • Partners with Business Unit HR Teams for upcoming HR projects.

What We’re Looking For
  • Bachelor’s degree and 8+ years relevant experience with a focus on payroll, benefits, compliance, leave administration, taxes and timekeeping.
  • Strong knowledge of HR principles and practices, payroll standards, and benefit administration.
  • Exceptional public speaking and presentation skills to effectively explain benefits offerings, lead employee meetings, and serve as a trusted spokesperson on benefits, payroll and timekeeping - related topics.
  • Strong project management skills with the ability to handle multiple priorities and deliver on deadlines.
  • Previous experience leading a team and coordinating with employees throughout an organization.
  • Excellent written and verbal communication skills, with a strong sense of professionalism and confidentiality.
  • Advanced proficiency in Microsoft Word, PowerPoint, Outlook, and Excel.
  • Ability to operate with agility, composure, and reliability in a dynamic Shared Services environment.
  • Exceptional attention to detail and organizational skills with a strong sense of ownership.
Schedule: Monday – Thursday, 10 hours per day (fully-onsite)

This position is at our Parsippany, NJ corporate office’s location (with occasional need to work in Montville).
Salary Range: $130k -140k
