Job Overview:

The Administrative Coordinator is responsible for providing administrative, operational, and regulatory support to the Director of Engineering, Safety, and Security for the Plant Operations Department. The role supports departmental compliance with applicable regulatory and accrediting agencies, including The Joint Commission (TJC), the State of Florida Agency for Health Care Administration (AHCA), and other federal, state, and local requirements related to Environmental of Care (EOC) and Life Safety. Always demonstrates Service Excellence standards.  

General Responsibilities:

  • Assists with the organization, documentation, scheduling, reporting, and follow-up activities necessary to maintain regulatory readiness.
  • Coordinates inspection schedules.
  • Maintaines compliance records and binders.
  • Prepares audit and committee materials.
  • Supports contractor and vendor coordination.
  • Processes requisitions and invoices.
  • Assists with work order tracking and departmental communication.
  • Supports EOC and Life Safety activities, including inspections, permit tracking, and documentation management, as directed.
  • Interacts professionally with hospital leadership, staff, contractors, regulatory surveyors, and community partners.
  • Other duties as assigned.

Qualifications
  • High School Diploma required, Bachelor’s degree preferred.
  • 4 years of experience in a hospital, institutional, or hospital setting preferred.
  • EOC/Life/Safety/Engineering/Maintenance field experience highly preferred.
  • Basic computer skills.
  • Knowledge of regulatory agencies, i.e., JCAHO, AHCA, local and state governing boards.

  • Capable of composing policies, correspondence, reports required for the Scope of Responsibility.

  • Ability to work with numbers, and invoicing from vendors.

  • Communicates well with internal and external contacts.
