Job description

Job Title: Administrative/Legal Assistant
Company: Maxey Wann
Location: In-Office | Jackson, Mississippi
Reports to: Litigation Attorney
FLSA Status: Exempt
Position Summary:
Maxey Wann is seeking a dependable and highly organized Administrative/Legal Assistant to provide administrative and clerical support to our civil litigation team in our Jackson, Miss. office. The ideal candidate will be proactive, detail-oriented, and able to manage multiple tasks in a deadline-driven environment.
Key Responsibilities:
  • Prepare, proofread, and format correspondence, reports, and legal documents
  • File legal documents with the courts (both electronic and physical filing)
  • Process accounts receivable, accounts payable, time entry, providing reimbursements and check requests
  • Schedule meetings, depositions, and court appearances
  • Maintain case files and organize legal documents for easy retrieval
  • Answer phones, screen calls, and route messages
  • Track deadlines and maintain the litigation calendar
  • Assist with billing, time entry, and expense tracking
  • Coordinate attorney travel and meeting logistics
  • Communicate professionally with clients, court personnel, and other law firms
Required Qualifications:
  • Associate's degree or equivalent administrative experience
  • Prior experience in a law firm or legal office
  • Strong administrative, organizational, and communication skills
  • Basic bookkeeping and accounting experience
  • Proficiency in Microsoft Office (Word, Outlook, Excel) and QuickBooks.
  • Ability to multitask, stay organized, and meet deadlines
Preferred Qualifications:
  • Knowledge of Mississippi court filing procedures is a plus
Compensation & Benefits:
  • Salary: $60,000 - $65,000 annually, depending on experience
  • Health Insurance: 100% employer-paid premium for employee; additional cost for dependents
  • Retirement: 401(k) plan with 4% employer match
