Job description

Village Management Services, Inc.'s mission is to serve the residents of Laguna Woods Village with the highest level of customer service and professionalism, making Laguna Woods Village the premier active-adult community in Southern California. JOB SUMMARY: Under general supervision, performs a variety of clerical and business services that follow generally prescribed or established procedures; performs related work as required. Work involves extensive public contact and occasional contact with other departments, residents, vendors, and the public.
ESSENTIAL FUNCTIONS:
Attends to a counter or reception desk, receives incoming telephone calls and answers a variety of questions relating to services and area of assignment.
Searches files for requested data, operates copy machine and envelope inserter as required.
Regularly operates a postage meter and assists in operating office machines assigned to the services room.
Keeps the Central Services Supervisor informed in all matters pertaining to postal rates, meter expenses, postage due mail and postal regulations. Ensures that personal mail is not posted with funds assigned to management.
Assists the supervisor with inventory control, including ordering of supplies using the Purchase Requisition system and processing of material withdrawals for delivery to MIS.
Cashes out register and verifies monies for deposit with cashier. Processes bulk mailings, including filling out of the proper USPS mailing forms and delivery to post office.
Backs up Office Assistant 1 position regarding mail pick-up and delivery to the post office, sorting incoming and inter-office mail with routing to the proper department and the processing outgoing mail.
Regular Attendance Required. All duties performed on site for the Community.
Works effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner; listens to and objectively considers ideas and suggestions from others; keeps commitments; keeps others informed of work progress, timetables and issues; addresses problems and issues constructively to find mutually acceptable and practical business solutions; addresses others by name, title or other respectful identifier; and respects the diversity of our workforce in actions, words and deeds.
NON-ESSENTIAL FUNCTIONS:
Operates the assigned truck in accordance with vehicle laws and corporate rules.
Backs up and assists the supervisor in a wide variety of departmental problems during supervisors absences/vacations.
Responsible for transporting of remittances to local bank for daily pick-up.
Maintains necessary logs to ensure proper billing for non-departmental postage users
EQUIPMENT OPERATED:
Truck, computer, copy machine, inserting machine, folding machine, cutting machine, ten-bin collator, booklet maker, Cannon reader printer, laminator and postage meter equipment.
WORK ENVIRONMENT:
While performing the duties of this job, the employee is in a climate controlled indoor office with time spent in air-conditioned vehicle and normal outdoor elements. DESIRABLE
QUALIFICATIONS:
Graduation from high school including, or supplemented by, computer courses, experience in the operation of photocopiers or equivalent combination of education and experience which produces the following:

  • Knowledge of the occupational hazards and safety precautions of the job.
  • Knowledge of the computer and applicable software programs to perform the job.
  • Knowledge of modern office equipment, practices and procedures.
  • Knowledge of business English, spelling and arithmetic.
  • Ability to maintain adequate and accurate production of repetitive work during normal work periods.
  • Ability to set up and type a variety of letters, records, reports and related materials.
  • Ability to operate standard office machines and equipment.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to read, understand and apply postal regulations to everyday mailing situations.
  • Ability to learn the operation of a postage meter and other machines assigned to the Central Services Office.

SPECIAL REQUIREMENT: Possession of a valid California driver's license.
PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is frequently required to talk, hear, see and use hands to finger, grasp, feel and reach. The employee is regularly required to sit for long periods of time (up to 8 hours) and use repetitive motion to operate a keyboard for long periods. The employee is occasionally required to kneel, pull, push, stoop and lift and carry up to 50 lbs.
MENTAL REQUIREMENTS: While performing the duties of this job the employee reads, solves problems, uses his verbal and written communication skills, and able to handle frequent customer contact, interruptions and multiple tasks.
