Position Description

This key position is an excellent opportunity to join a rapidly expanding nonprofit committed in areas of Health & Wellness, and Community Outreach. This full-time position’s primary responsibilities include coordinating intake materials and equipment, administrative support of the department, weekly data entry, and monthly data reports.


The nutritional services coordinator is responsible for supporting nutritional services programming as well as data pulling for grant and organizational reporting. The Nutritional Services Coordinator (“NSC”) will coordinate and assist in the planning of day-to-day nutritional services programs that include both on-site distributions and deliveries. The NSC will coordinate all front-end intake processes and communicate with service partners to ensure all distributions are running smoothly and effectively under the direction of the Nutritional Services Manager.

Role and ResponsibilitiesProgram & Daily Operations
  • Support day-to-day programming at warehouse and mobile food shelf locations as needed.

  • Work with the Assistant Manager and team to ensure accurate daily food shelf processes and procedures, including intake at distributions and data entry for reporting as needed.

  • Assist in the organization and execution of Mobile Food Shelf events, including unloading trucks, packing food boxes, and setting up distribution sites.

  • Coordinate group activities, partner communications, and inter-department warehouse access and storage (including the Sanneh warehouse) in collaboration with the Warehouse Manager and Department Manager.

Inventory, Allocations & Ordering
  • Manage allocations of donated, rescued, and purchased products at the direction of the Department Manager.

  • Update and maintain accurate inventory records of food and supplies once allocated.

  • Track weights, donations, and costs of all food to ensure accurate inventory records.

  • Monitor and maintain inventory of intake materials, printed forms, charging equipment, and other operational supplies.

  • Assist in food ordering from food banks and produce distributors, and support the Warehouse Manager with ordering processes.

Data, Reporting & Administration
  • Organize departmental data as requested by the Nutrition Department or Assistant Manager.

  • Partner with team members to maintain timely entry and integrity of intake data.

  • Carry out and update mechanisms to pull impact reports, create summaries, and support monthly food shelf data entry and reporting.

  • Track and label invoices and maintain an organized Google Drive folder for the department.

  • Support administrative functions of the department under the direction of the Department Manager.

Scheduling & Logistics
  • Manage the department calendar and staff schedules.

  • Regularly update order logistics and coordinate with the Warehouse Manager on scheduling drivers for pickups and deliveries.

  • Drive as needed for pickups and deliveries.

Volunteers & Community Relationships
  • Support and provide guidance to staff and volunteers, helping refine intake and food program processes and ensuring smooth operations.

  • Represent the organization to build and maintain relationships with businesses, churches, organizations, and individuals interested in donating, volunteering, or partnering.

Compliance & Safety
  • Ensure compliance with food box program requirements, participant data standards, printed materials, warehouse SOPs, and all federal and state food safety regulations.

  • Follow all safety guidelines to minimize risk exposure.

Other
  • Participate in special projects as required for the department and perform other duties as assigned.

Required Education & Qualifications
  • Available for occasional nights and weekends (preferably Saturdays).

  • 2 years plus work experience in Data Entry or Food Shelf or Nutritional Services Experience.

  • Ability to communicate positively with a diverse community.

  • Cooperative team member who can also work well independently.

  • Robust understanding of the holistic needs of the community.

  • Possess problem-solving skills.
