Dogwood Veterinary Specialty and Emergency is seeking an experienced Veterinary Referral Coordinator / Client and Referring Veterinarian Liaison to join the founding team of our brand-new Specialty and Emergency Hospital in Dunwoody, Georgia, opening Fall 2026.
This is an opportunity to help build the referral experience from the ground up while becoming a trusted connection between referring veterinarians, pet owners, and our specialty teams.

As one of the first team members at our new Dunwoody hospital, your work will help establish the relationships, communication standards, and referral processes that will shape the hospital's growth.

You'll have the opportunity to build something meaningful while working alongside experienced veterinary professionals within a growing and well-established specialty veterinary organization.

This Is More Than a Scheduling Position
As our Veterinary Referral Coordinator, you will be a key connection between General Practice veterinarians, specialty clinicians, clients, and hospital teams.

You'll help ensure that patients receive the right care at the right time while making the referral experience as seamless as possible for everyone involved.
  • Coordinate specialty referrals from General Practice and Emergency veterinary hospitals.
  • Contact clients to explain the referral process, answer questions, and schedule specialty appointments.
  • Review referral requests for accuracy and completeness.
  • Obtain medical records, diagnostic results, laboratory information, and imaging from referring practices.
  • Prioritize urgent and emergent specialty cases appropriately.
  • Ensure timely communication throughout each patient's referral journey.
  • Maintain accurate referral documentation and follow-up.
  • Serve as a trusted point of contact for referring veterinary hospitals.
  • Build and maintain professional relationships with veterinarians, veterinary technicians, and hospital teams.
  • Facilitate communication between referring doctors and Dogwood specialists.
  • Coordinate medical updates, consultation information, and specialty reports.
  • Help strengthen and grow Dogwood's referral partnerships throughout the Atlanta veterinary community.
Client Experience
  • Guide clients through specialty and emergency scheduling with compassion, confidence, and professionalism.
  • Explain appointment expectations, preparation, and next steps.
  • Help clients navigate emotionally challenging situations while maintaining a calm and supportive presence.
  • Ensure clients feel informed, respected, and supported throughout the referral process.
Hospital Collaboration and Growth
  • Collaborate closely with Internal Medicine, Surgery, Neurology, Oncology, Cardiology, Radiology, Dermatology, and Emergency teams.
  • Maintain detailed referral documentation within the hospital information system.
  • Identify opportunities to improve referral workflows, communication, and efficiency.
  • Support hospital growth initiatives and community outreach.
  • Help Dogwood build lasting relationships with the veterinary practices and professionals who trust us with their patients.

What We’re Looking For
Schedule

Full-Time | Monday–Friday | 6:00 AM–4:00 PM

This position is designed around a consistent weekday schedule, providing predictable hours while supporting referring veterinary hospitals and specialty patients during the primary business day.
Occasional flexibility for weekends or community events may be needed based on hospital and outreach needs.

This Is Not an Entry-Level Position

We're looking for someone who already understands veterinary medicine, clinical terminology, client service, and the importance of strong communication between veterinary hospitals.
  • 2+ years of experience working in a veterinary hospital
  • Strong understanding of veterinary medical terminology
  • Exceptional communication and customer service skills
  • Outstanding organizational and time-management abilities
  • Ability to manage multiple priorities in a fast-paced veterinary environment
  • Comfortable communicating with veterinarians, veterinary technicians, clients, and hospital leadership
  • Experience using veterinary practice management or hospital information software
  • Strong attention to detail and follow-through
  • Specialty or Emergency Veterinary Hospital experience
  • Previous experience as a:
    • Veterinary Referral Coordinator
    • Referral Relationship Manager
    • Veterinary Client Service Supervisor
    • Lead Veterinary Receptionist
    • Veterinary Receptionist
    • Client Service Representative
    • Hospital Coordinator
  • Experience coordinating referrals between General Practice and Specialty veterinary hospitals
  • Experience building relationships with veterinary practices or referral partners
  • Bilingual English and Spanish skills are a plus
