Automotive Title Clerk

Location:  Mark Jacobson Toyota (4516 Durham Chapel Hill Blvd, Durham, NC 27707)

Department:  Accounting

Status:  Full-time, non-exempt

Position Summary

We are seeking an experienced, highly organized Automotive Title Clerk to join our dealership accounting team. The Title Clerk is responsible for the accurate and timely processing of vehicle titles, registrations, liens, and related documentation for new and used vehicle sales transactions.

This position works closely with the Accounting, Finance and the Sales departments as well as customers, lenders, lienholders, and state motor vehicle agencies. The ideal candidate is detail-oriented, dependable, a good communicator, comfortable working in a fast-paced dealership environment and committed to following title transactions through to completion.

Essential Duties & Responsibilities

  • Review deal jackets and title documentation for accuracy, completeness, required signatures, and compliance before submission.
  • Prepare and process in-state and out-of-state title and registration transactions for new and used retail vehicle sales through CVR.
  • Process trade-in titles and verify proper ownership, assignments, lien information, and supporting documentation.
  • Obtain and track lien releases, titles, and other documents necessary to complete vehicle transactions.
  • Maintain an accurate outstanding-title schedule and actively follow up on missing titles, lien releases, or other incomplete documentation.
  • Keep active supply of DMV forms and Temporary tags.
  • Research and resolve title discrepancies or rejected title and registration applications promptly.
  • Communicate with customers, lenders, dealerships, DMV personnel, Finance Managers, Sales Managers, and Accounting personnel to resolve outstanding title issues.
  • Stay current on state and out-of-state title and registration requirements and dealership compliance procedures.
  • Maintain confidentiality of customer and dealership information.
  • Provide additional support to the Controller and dealership accounting office as needed.

Qualifications

  • Previous automotive dealership title-clerk or dealership accounting experience.
  • Working knowledge of North Carolina vehicle title, registration, lien, payoff, DMV and CVR processes.
  • Knowledge of out-of-state title transactions.
  • Experience with Reynolds & Reynolds and CVR electronic title/registration systems preferred.
  • Strong computer and data-entry skills.
