Administrative/Project Assistant

This is a remote position. Our client is looking for an Administrative/Project Assistant to support a fast-growing U.S.-based event services company that provides modern photo booth experiences for weddings, corporate events, brand activations, and private celebrations. They have supported thousands of clients, earned strong customer reviews, and built a national presence in the event rental space over the past several years. This role is ideal for someone who enjoys customer communication, sales support, event coordination, and keeping details organized from the first inquiry through the final event confirmation. The right candidate will be responsive, polished, and comfortable managing multiple client conversations at once while helping leads select the best package for their event.

Responsibilities:

  • Respond to incoming leads through email, WhatsApp, and the company's CRM.
  • Guide potential clients through available photo booth packages and help them choose the right option for their event.
  • Recommend relevant add-ons such as prints, glam filters, backdrops, and additional event hours.
  • Answer client questions related to event timing, venue logistics, setup details, and planning needs.
  • Follow up with leads in a timely and professional manner to help move bookings forward.
  • Confirm event details and ensure all required information is accurately collected.
  • Coordinate internally to support smooth event preparation and execution.
  • Provide calm, friendly, and professional support to clients before their event.
  • Maintain organized records of client communication, booking details, and follow-up status.
  • Handle several active conversations at once while staying detail-oriented and responsive.

Requirements:

  • Excellent written and spoken English.
  • Previous experience in customer service, sales support, administrative support, or event planning.
  • Confidence communicating with U.S.-based clients.
  • Strong organizational skills and attention to detail.
  • Ability to respond quickly, clearly, and professionally across multiple channels.
  • Comfortable managing several client conversations and follow-ups at the same time.
  • Customer-focused mindset with the ability to stay calm under pressure.
  • Strong communication skills and a proactive approach to problem-solving.

Qualifications:
