Job description

Administrative Assistant - Entry Level (Remote) About the job Administrative Assistant - Entry Level (Remote) The position is part time at 15‐20 hrs per week by the end of November 2022. The hours weekly could possibly increase to 24‐30 after November 2022. Advantages are not listed. This is a remote role that will require communicating with the manager, project team members, and the client through email, telephone, and Microsoft Teams.

Responsibilities

Administrative Support In charge of managing digital reports (e.g., developing project‐specific files) and, upon request, assisting with coordinating and generating technical documents and discussions. In charge of monitoring and updating program client handbooks. Regulatory Assistance Responsible for reviewing eco‐documentation and administering regulatory compliance needs. Responsible for entering data into an online database and for evaluating digital material against established regulatory requirements. Conducts ad‐hoc regulatory research.

Maintains a job e‐mail mailbox, where e‐mails are received from clients and project subcontractors. Understands client SOPs to provide appropriate assistance to client sites. Demanded Skills Organized, detail oriented, able to work independently and in a busy environment, multitask, and prioritize work. Strong communication skills (phone and email) with a professional demeanor.

Proficient in data entry and QA/QC. Advanced Microsoft Office proficiency (Teams, Outlook, Word, Excel, PowerPoint) including data entry, formatting, printing, filtering, and sorting. Proficiency in Adobe Acrobat (editing reports). Ability to create and maintain digital filing systems for specialized documents. Knowledge of environmental regulations. Client service experience. Degree Requirements Associate's or Bachelor's degree and 2+ years of related organizational experience in a progressively responsible role.
