Job description

Position Summary

The Real Estate Coordinator supports the Real Estate team in the new development and renewal of restaurant locations across multiple brands. This role is responsible for coordinating due diligence activities, tracking project milestones, maintaining real estate records, managing critical documentation, and supporting real estate managers throughout the site development lifecycle.

Key Responsibilities:

Project Coordination

  • Track and manage new development and asset renewal projects from site approval through project closeout.
  • Coordinate due diligence activities, including surveys, title commitments, environmental reports, geotechnical studies, and site investigations.
  • Coordinate signatures from Landlord’s for both new development and lease renewal projects
  • Monitor critical dates and project milestones to ensure timely completion of requirements.
  • Facilitate handoffs between Real Estate, Legal, Construction, and Lease Administration teams.

Documentation & Administration

  • Organize and maintain electronic project files, databases, SharePoint sites, and document repositories.
  • Process and track tenant improvement allowances and landlord reimbursement requests.
  • Assist with easements, lot splits, memorandums of lease (MOLs), and other real estate documentation.
  • Maintain project trackers and provide status updates to leadership and project stakeholders.

Due Diligence Coordination

  • Order, receive, review, and distribute due diligence reports.
  • Coordinate with brokers, attorneys, consultants, surveyors, title companies, landlords, and internal stakeholders.
  • Ensure all due diligence documentation is complete and available for review prior to project advancement.

Reporting & Data Management

  • Generate reports and maintain accurate project records.
  • Utilize systems such as SharePoint, Smartsheet, Excel, Power BI, and other project management tools.
  • Support data integrity and process improvement initiatives across the Real Estate department.

Qualifications

  • 1–3 years of experience in real estate, project coordination, property administration, commercial development, or a related field.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple projects and priorities simultaneously.
  • Detail-oriented with strong follow-through.
