Job Summary

The Program Assistant is an entry-level position within Radiology Administration that provides clerical, technical, and workflow support to the PACS Administrator and Imaging Services team. This role assists with image management activities, including helping ensure imaging studies are available, organized, and routed appropriately within the Picture Archiving and Communication System (PACS). The Program Assistant supports daily operations by responding to routine imaging requests, helping troubleshoot basic image access issues, assisting with image transfers, maintaining documentation, and communicating with internal departments and external facilities as directed. This position requires strong attention to detail, professionalism, confidentiality, and a willingness to learn imaging systems and department workflows.

Responsibilities:

1. Assists the PACS Administrator with routine image management tasks, including locating, verifying, importing, exporting, routing, and monitoring imaging studies as directed.

2. Supports daily PACS workflow by helping confirm that imaging exams are available for review and that requested images are delivered to the appropriate destination in a timely manner.

3. Responds to routine image-related requests from radiologists, technologists, providers, clinical departments, and outside facilities while maintaining a professional and service-focused approach.

4. Assists with basic troubleshooting related to image availability, study access, incomplete information, or routing concerns and escalates complex issues to the PACS Administrator or appropriate team member.

5. Helps maintain accurate documentation of image requests, transfers, corrections, downtime activities, and other PACS-related support tasks.

6. Assists with quality checks to help identify duplicate studies, mismatched patient information, missing images, or other issues that may affect imaging workflow.

7. Provides administrative support for Radiology Administration, including data entry, filing, scanning, tracking requests, preparing reports, and supporting departmental communication as needed.

8. Maintains patient confidentiality and follows all applicable privacy, security, and organizational policies when handling imaging information and patient records.

9. Communicates clearly with team members and customers regarding request status, next steps, and needed follow-up.

10. Participates in training and demonstrates a willingness to learn PACS functions, imaging terminology, Radiology workflows, and department procedures.

Education Requirements:

High school diploma or equivalent required. Associate degree or coursework in healthcare, health information, information technology, or a related field preferred.

Licensure/Certification Requirements:

No licensure or certification required.

Professional Experience Requirements:

Entry-level position. Previous experience in a healthcare, radiology, medical records, information technology, or customer service setting is preferred but not required. Experience using computers, electronic records, or imaging-related systems is helpful.

Knowledge/Skills/and Abilities Requirements:

Requires strong attention to detail, basic computer skills, and the ability to follow established procedures. Must be able to communicate professionally with staff, providers, patients, and outside facilities. Demonstrates reliability, organization, confidentiality, and the ability to manage multiple routine requests in a timely manner. Must be willing to learn PACS, imaging workflows, medical terminology, patient privacy requirements, and department-specific processes. Ability to recognize when issues need to be escalated to the PACS Administrator or other appropriate team members is required.

Physical Requirements:

Work is primarily performed in an office or imaging department setting and requires frequent use of a computer, telephone, and standard office equipment. Must be able to sit for extended periods, view computer monitors, enter data accurately, and communicate effectively in person, by phone, and electronically. May occasionally stand, walk within the department or hospital, bend, reach, lift, or carry light office materials, discs, paperwork, or supplies, generally up to 10 pounds. Must be able to maintain focus and attention to detail while performing repetitive tasks related to image review, documentation, and request tracking.

Working Conditions:

Work is performed in a healthcare environment that may include interaction with clinical staff, providers, patients, outside facilities, and administrative personnel. The position requires handling confidential patient information and following all privacy, security, and organizational policies. The role may involve frequent interruptions, competing priorities, and time-sensitive image requests. The Program Assistant is expected to maintain professionalism, accuracy, and confidentiality while supporting PACS-related workflows and Radiology Administration operations. Occasional exposure to clinical areas may occur when coordinating with imaging staff or supporting department needs.
