Legal Executive Assistant

Reeves Law Firm | Decatur, Alabama


Mission

To support the efficient operation of the law office through organization and preparedness. 

This role provides support with legal casework and executive responsibilities while serving as a detail-oriented, proactive, and confidential partner to the attorney.

Key Responsibilities

Case Work

·       Track court dates, hearings, and discovery deadlines on the litigation calendar and raise them early.

·       Draft, format, and proof pleadings, discovery, subpoenas, and correspondence. E-file through Alacourt and AlaFile for Alabama courts.

·       Review documents before they leave the office for dates, names, case numbers, parties, and deadlines.

·       Order, organize, and summarize medical records, police reports, and discovery documents.

·       Keep client files current and complete in the firm's case management system.

·       Prepare exhibits and organize evidence for depositions, mediations, and trial.

·       Communicate with clients, courts, opposing counsel, experts, and vendors.


Executive Support

·       Keep a running list of the attorney's commitments, follow-ups, and loose ends.

·       Manage the attorney's calendar, correspondence, travel, expenses, and priorities.

·       Screen calls and email.

·       Prepare agendas and follow-up lists.

·       Assist with tasks and projects outside of the office – an errand, project, etc. Over time the role may grow to include helping supervise other staff.


Marketing

·       Keep the firm's marketing calendar moving. Schedule content and coordinate blog, newsletter, and video production across platforms.

·       Book, set-up and staff public-relations and promotion events.

·       Maintain marketing materials, branding assets, and photos. Track what is working.
